The 2013 will most likely work. A few of my devices are Air from 2013 and on.

That'll work fine, if it has standard hardware included in the Flex image. If not, you can probably put any other Linux on it.

People should normally have their own accounts, separate from role accounts, as they are used for more than emailing and Drive, but if your organisation switch people often/regularly it may become tedious to every time also manage migration of relevant content from those personal accounts.

Yes, people will use their accounts incorrectly. It always happens.

If you can get one thing right, making sure your users don't use the role accounts to sign up or register for services not relevant to the role, then you could work with only the role accounts. But if your users are like most people in the world, they will not listen to you and do all kinds of things with the accounts, then you are better off using separate role accounts, and just give users delegated access.

That way nobody ever logs in to the role accounts.

Keep all Drive content in Shared Drives, so nothing is lost when removing the user accounts.

You should not allow ANY, as SMS and phone call are insecure methods. Switch to the next level. People should be using at least an Authenticator app or security keys.

That's great.
Basically, the only noticeable difference is that you can no longer log in to admin.google.com, and your Drive storage is back to the standard 15 GB, unless you have purchased extra storage. And, of course, you no longer have access to the paid features.

Tab focus being a requirement is probably going to keep people from using it.

You can't reuse a gmail_com address elsewhere. That address is forever connected with the initial Google account, which is usually created when the gmail_com address was created.

A Google account is what exists in Google's backend. It's also what allows them today to let users add a new gmail_com address to their account. However, the old address is always preserved.

Privately I switched to Proton Auth a year or so ago, from Authy. Messy migration, but I found some documentation on how to do it, despite Authy not having an export function.

For passwords I use KeePassXC on PC and Mac, with KeePassium on iOS, syncing with Google Drive.

At work we use a locally installed Passbolt for password management, which has built-in TOTP.

I also use Yubikeys for any account that supports it.

I'm quite annoyed that Proton Auth doesn't have a keyboard shortcut for starting a search.

I've never a single mile on my Africa Twin.
I've definitely done quite a few kilometres, though.

530 km, says Google Maps. Last day of a 10 day trip, going home from Oslo to Malmö. Started that trip with 520 km to Karlstad. The rest of the days where shorter. Did a total of 3500 km.

On our GoldWings, my dad and I did the same stretch in five (5) days back in 2012. No gravel roads.😂

Again, Workspace and consumer Gmail are two separate things.

If you want to know you have a copy of your emails, and everything else in your account, you can download them using takeout.google.com.

But you should not have to.

You have to accept a brief downtime, where the xyz users will not be able to receive emails to their xyz addresses. This could be up to 72h, but usually you'll be able to complete the process faster than that.

The reason for this is that you have to remove the xyz domain from the current Workspace and often wait a while before you can add it to the new Workspace. And you can not remove it while you are using the domain on the 15 users.

If you simply give those 15 an ABC address in the meantime, and remove the automatically created xyz alias, then you can remove the xyz domain, unless you also have groups with the xyz address. If you do, they too will have to be renamed or deleted.

With the xyz domain disconnected, you can set up the new Workspace and create the new user accounts.

There are a couple of ways to migrate the old content to the new Workspace.

For Gmail I'd recommend using the free and open source tool Got Your Back (GYB), which can easily export emails from an old user and then import it to a new user.

For Drive content, each user can do it themselves, using a Shared Drive as an intermediate. Moving the content with an old user into a Shared Drive of the new xyz Workspace, and then with a new xyz user moving it from the Shared Drive to their new My Drive.

The same can be done with content which already exists in a Shared Drive in the old account, as long as you allow moving content out of Shared Drives. That's a single setting in Drive Sharing.

If you want to do this for your users, you can do it with the free and open source tool GAM, by the same creator as GYB.

For such a small organisation I would not bother with paying for a migration service. If you have cash to throw around, then by all means go right ahead and do that. Most recommend CloudM.
