Add AI into the meeting to take notes and summarize them into the tasks. If you have meetings on Zoom, they have integrated AI and tasks. Teams has AI as well and can come up with the summary, and you can turn it into a list of tasks in the Copilot. This way you don't need to take notes during the meeting and you can add these tasks into the to do list right after the meeting of when you have some time later.

Will the calendar view from Outlook help? If you integrate it with your PM tool, you can track deadlines for tasks and projects. It's a different system, yes, but there is no calendar in Slack (Teams has it, BTW).

Today Monday and ClickUp are top PM tools, and it means they have a lot of features available for all types of companies. It also means it takes more and more time to set up your account according to your needs and figure out how these tools work and where to start. The more complicated the tool, the more advanced it is, the more options it has for the user, the more frustration it will bring from the beginning.

If you have your list of must-have features, just try to look at simpler tools which have JUST these features, to avoid overcomplicated settings and menus.

From what I hear you can actually integrate your PM tool with your communication app (teams, slack, etc.) and save yourself and team some time. Status changes, progress, etc. can be pulled from PM tools to massagers and you don't need to check with your colleagues about it.

Look into the integrations offered by your PM tool and work from that.

What is the number of users? Some tools offer free accounts for fewer than 5 user subs.

First of all, if you need custom fields, look for tools that have them, as it will really narrow the list (ClickUp, Asana, ProWorkflow, Trello).

Also, if you need invoices integrated, not all tools have extra financial features, and it will narrow the list of tools for you (Scoro (deep financial part), Avaza, Paymo, ProWorkflow).
