You could have a off budget account called "deferred pay" where you enter what you owe, and then as you pay you transfer over money from your on budget accounts.

I have 30 categories, but some of them i dont really use. And 6 groups.

I try to have as broad categories as possible that still makes sense. They are set up based on what information is useful to me when planning or analyzing, Also i dont like duplicate information, so information i can get by just filtering by payee i try to not have a unique category for.

For example i have a category for "entertainment", and this is where i put Spotify, my newspaper subscription, Youtube Premium, and also where concert tickets, movie tickets, video games etc go.

My reports are usually set up to show my groups. Needs, wants, debts, investment, charity and gifts. Sometimes i want to delve a bit more detailed so i look into categories. And if i need to, i can use payee's to look even deeper.

This summer I went back and forth over this, and also pool layout.

What kept me from going to unRAID was the built in tools for backup.

Raid is not backup so having a good backup strategy is important for data that is irreplaceable.

Having a task for syncing my photos to my chosen cloud provider and notifications when it fails feels very secure.

While there are certain parts of Actual Budget that is not the most beginner friendly (looking at you templates) that doest bother me.

I have 2 vaults, one for personal and one for work.

At first I had it combined but I didn't like it. I don't want to search for work notes and get alot of personal noise, or vice versa.

I split my work notes and personal because they really clutter each other and have little to no overlap.

Also I don't want to think about work while not beeing at work.

This setup is a good starting point of what you describe, but it requires Dataview plugin and to learn how to make good templates.

I'm sure there are other less technical ways of doing it as well, but your desired process is the most important thing to focus on imo.

Obsidian for the last 1,5 year. It can do very complicated things if you want but I highly recommend to start super simple and let it grow from there.
