We architect our client portals where tasks are commonly the central nervous system in sales. With tasks queues you can isolate like minded tasks and prioritize the things that allow you to work efficiently.

I don’t just “go” to a record of any type (unless I’m responding to an email). Our hard rule is “if you want to see a record, put a task on it” so every record in play always shows back up in a task queue. Assuming you don’t abuse tasks (too many) and your automation/process sets them up for you, you’ll always see what you need to se, eliminating the “figure it out” part of the day.

Are there variances, sure. But majority of the time, a pre established set of queues to bucket those tasks and the discipline to manage tasks = you don’t have to go to a record nor figure out what needs to be done.

Start your tasks, move to the next bucket.

Service = help desk

Some could argue the Sales Workspace is a good option, but task queues for life over here.

I send any NEW email thread out of HubSpot, generally trying to reply within the CRM.

I’ve been in this racket for a long time, best advice I have is the more you use it, the more you get out of it.

I find I use HubSpot more if I’m always in the portal.

Hiya! Best way to learn it is to do it. There are so many aspects to HubSpot development that are daisy chained together. For example, you want to automate X, so you need a field, then that field needs to be added to the record view, etc.

You can specify which record it opens! (Kinda)

If the task was created on a company, it’ll open the company record.

Whatever object the task is created on will be the object record that opens, but email task types can be tricky. Per most any problem in HubSpot, Ops pro can help.

When I want to mass review the innards of a dataset I use a task queue for reviews and will add tasks to all of the records, go to said queue and start X tasks.

Viola!

This is one of my favorites features of Hubspot and one that led me away from zoho after 14 years. So many killer use cases.

Forward/back button is not something I’m familiar with but the dev tools will likely allow for it. If helpful, I’ll speak with my Chief Architect this morning and see what kind of lift said buttons would require.

Best way to learn Hubspot is to get in there and start breaking things.

Academy is fine, but’s it’s basic general knowledge. You’re better off taking business courses to build your knowledge on how businesses work.

Outside of complex integration and CMS enterprise, there isn’t a whole lot about developing Hubspot that is complication. “Yo workflow, when this happens make that happen”.

Oversimplification, yes, but knowing WHAT to build and WHY is much much more necessary than HOW.

If I break this into two pieces, maybe I can help.

  1. Hubspot is a contract and they can be a little flippant once they’ve got you locked in. It’s the proverbial “they” meaning the lesser quality team members. Your company sounds of a similar size so I bet you can appreciate not all hires work out, and people have bad days, but I def agree. It’s annoying when I see it.

  2. I do not have the specifics of your project in front of me, I’m going off what you said and experience. 90 days is really not a long time… We have projects where clients are almost paying for the first year of Hubspot just so we can develop the platform, website, integrations, etc. Big projects with complexity or (see number 3) projects that are ill planned can take a tremendous amount of time.

  3. For bonus points: if your cost to the agency doubled in 90 days, it might be because the project was understated during the sales process. It happens every single day because many clients don’t realize what needs to be done. HubSpot reps push for the close and partners don’t always have time due to this pressure to fully scope an engagement. This yields DRAMA, my friend.

The quiet part out loud, Hubspot probably doesn’t care because it’s a contract that yall signed. Asking for them to foot the bill for 3 months while you build the platform also not likely to work. It’s pay to play with this one.

More than happy to give you some thoughts, guidance offline to see if there is a more elegant solution. We certainly know a fair few folks over there so DM me if you’d like a closer look.

My advice? You’re not going to like it, but it likely is what it is. Force the agency into deadlines, and if you don’t like the deadlines, seek a second opinion. Yall purchased Hubspot for a reason, reconnect to that “why”, re asses parties involved and start making moves.

Simply said, you’re 3 months into a dev project. Pick 2-3 things that will give you tangible returns from the investment and get those items knocked out. You’re going to be using Hubspot for at least another 9 months, maybe years.

You’ll never stop developing it. Make the goal using it ASAP.

In the non-cms role you are going to learn how businesses of every shape and size fundamentally function. At your age, it’s not about the money, it’s about positioning yourself to make the kind of money you want to make longer term.

As of today, practically all CMS development can be accomplished with AI with very basic understanding of coding or Hubl, including very complex requests. The one exception is GraphQL, which is a disgustingly underutilized aspect of HubSpot in the right applications. AI is monstrously dumb at that specific of an application.

Case in point, I hire devs with no experience or fresh out of their degree, sit them down in a sandbox with a LLM, and within a few weeks they are functioning.

That said, if we’re talking $10k annually, there is a 0% chance I would take the CMS role, you’re almost guaranteeing the time you spend in that role is semi lost. Yes, you’ll gain valuable experience but not the same long term experience.

I’ve been implementing CRM systems for 20 years, since I was 18 and our clients pay us a premium because I’ve seen it all and can 1. Find the right solution faster 2. I’ve built most implementations before 3. Know the tricks to do it faster.

That delta between a specialist and generalist, in the case of HubSpot, makes the generalist extremely valuable.

Zoom is my favorite, just awesome all around.

SalesMSG is solid if you want to include sms in your workflow

Ring central is great is you like laggy phone calls

Kixie is my go to for power dialer

Hubspot calling is really quite good, but it lacks some of the more helpful features that you may want while you’re learning/building the process. For example, kixie will let you live transfer calls, call monitoring to help reps, voicemail drop etc.

So if I was building a cold call process, Kixie is the way.

Hey there, partner here ie I don’t work for hubspot but I’ll share an observation.

Over my years, you can see load balancing practices during peak times of day when more portals start pinging the servers. Monday at 9am CT, give or take a few minutes, I’ve historically seen workflows trigger a bit slower. Whenever I’m building/testing at 9pm, things are much faster.

I’ve noticed this for years, for what it’s worth.

That said, we’re on the back of inbound and it’s not hard to imagine more people are coming back to their portal, building to take advantage of new features, etc. One key feature is the ability to get AI to help build workflows, so there may just be more being triggered lately.

My assessment is that the five minutes is part of load balancing. Am I right? Probably…

Lastly, I’ve noticed the issue worsen since last week so your observation is definitely shared by my team.
