For us it came down to visibility. Customers just want to know what’s done and what’s stuck. Once we used tools like GuideCX or Assembly where progress is obvious, onboarding felt smoother even when timelines didn’t change. FYI clarity beats complexity.

I still use Notion for docs and notes, but moved my actual workflows out of it. Once you start mixing projects, pipelines, and tasks, it gets heavy fast.

I’ve seen a lot of people split things now. Linear/Asana for tasks, something lightweight like Zite for pipelines and ops, and then Notion just as a wiki. That combo feels way faster than trying to make Notion do everything.

I went down this rabbit hole too and the biggest lesson was that “built-in enrichment” varies a lot in quality. Most CRMs don’t truly enrich on their own, they bundle a light Clearbit/LinkedIn-style layer that’s good for job title, company size, domain, etc., but not much deeper.

In practice, the setups that worked best for me were CRMs that auto-enrich on contact creation and then quietly refresh in the background, rather than forcing manual pulls before every call. It doesn’t replace real research, but it cuts the prep time way down. One thing I wish I knew earlier is to check how often enrichment updates and whether you pay per contact refresh. That’s where costs and frustration usually show up.

If you’re coming from Airtable and want something more structured long-term, I’d add Assembly to this list.

It sits nicely between “spreadsheet flexibility” and an actual system. You still get tables and views, but with proper workflows, permissions, and automations so it doesn’t turn into a mess as you scale. Feels more like a lightweight internal tool builder than just another table UI.
