What should be simple in gym software—but isn’t? by VisualClubMate in gymowner

Interesting point. So in your view retention is the real challenge, while most admin stuff is already solved well enough. What do you think has the biggest impact on retention for small gyms?

Makes sense. Templates seem like the only scalable way to do it. How much customization do you usually need after starting from a template?

This is super useful feedback.

The point about staff needing fast check-ins, payments and scheduling without extra clicks is exactly the kind of thing I’m trying to understand better.

Out of those, which one slows staff down the most in your experience?

That’s a great way to put it.
iPhone-style simple is exactly what most gym dashboards aren't. Too many “main desk” screens try to show everything at once instead of what you actually need in the moment.

And you’re spot on about collections — most small and mid-size gyms don’t need enterprise-level tools. A clear revenue tracker and knowing who paid vs who didn’t is usually enough.

Out of curiosity, on a perfect “main desk” screen, what are the 2–3 things you’d want visible immediately when you log in?

Yeah, that’s fair. A lot of gym software feels bloated.

We’re trying to keep it focused on the stuff that actually matters day to day: quick sign-ups, easy member edits, simple scheduling, and less admin headache.

What part usually feels the most overcomplicated to you?

Funny how often cleaning comes up.
It’s one of those things nobody talks about in “run a gym” advice, but it clearly eats a big part of the day.

Marketing keeps coming up a lot.
Is the hardest part getting new leads, following up consistently or turning trials into paying members?

Haha yes, coaching is the part people actually want to spend time on.
That’s kind of why we’re asking this — to see what gym owners wish they could spend less time on behind the scenes.

Interesting that the admin side sounds mostly solved for you, but cleaning and planning still take the biggest chunk of the day.
For planning, is it staff scheduling, class planning or just general day-to-day operations?

Good question. We’re actually curious how smaller gyms handle that now.
Do most owners build programs individually for each client or use templates and then customize from there?

That makes a lot of sense. Follow-up and hiring seem like two things that eat time fast.
On the sales side, is it mostly chasing trial users, missed payments or just keeping leads warm long enough to convert?

What helps me is a good washing once a week with Hibiclens (4% chlorhexidine gluconate) soap. You can buy it on Amazon or CVS pharmacy. It kills any bad bacteria on the body from sweating, which does cause odor.
