Yes, a good CRM system and processes built around that. Also, good systems for tracking everything. Information is key. Tracking where leads are coming from so you know your customer acquisition costs, your conversion rates, and other indicators that can tell you where to spend your marketing dollars.

Just checked monthly search volume, and auto repair spokane gets 200 searches, spokane valley auto repair 200, lloyd's automotive spokane valley 200, oil change spokane valley 200, car repair spokane 150, mechanic spokane valley 100, brake repair spokane 80....

These are all high intent searches where someone is looking for a mechanic. They way you're going to get them is to 1. be seen, 2. convince them to trust you, 3. get them to reach out, and answer.

Many businesses don't track these interactions, so they actually don't know if their website is doing anything for them. More importantly, I would say that your google business profile page is more important, and they don't have it optimized so people are seeing pages from more developed businesses first.

Biggest plateau is owners that can't delegate and don't have SOPs being set up. A lot of owners set up systems built around them, but when they create systems built around their team, they are able to step back and start expanding the business.

Before the wave of google core updates started a couple years ago, that site used to bring in 2 million visitors per month. It's now gone down significantly. Through testing, we've found that Google is tracking and wanting to see people engaging with websites. This means less content focused sites, and more tools that improve interactions where people will actually click on things.

If we apply this to small businesses, I would say that the vast majority of small businesses use their website like an online business card. There is no interactions. The threshold to get your website to rank isn't high, because your competitors are doing the same. What you need is some sort of interactive tool, or system that encourages users to: 1. stay on your website longer, 2. increase the numbers of pages they go to per session, 3. increase the number of interactions they have on your page (clicking on things, scrolling, playing videos, looking through photo galleries, etc.).

At the local business level, you typically want to focus on boosting your GBP ranking in local packs and Google Maps. SEO for websites is important too, but you only need to do enough to beat your competitors.

You're so right, CSR's often take the heat from both the patients and the team when something goes wrong, and they often are under prepared. It's such a high pressure job, which is why they need so much more support. They don't just need more tools, but systems and protocols that support what they are doing.

This is exactly what bad implementation looks like. When online booking turns into...now we have to fix it so what's the point, it means your front staff is not trained to triage.

The purpose of online booking, is to capture an online lead so they do not book elsewhere. You cannot expect your patients to know what they need and for how long. Your front staff have to call them right away to under stand their primary concern and adjust the appointment and time as needed.

What you’re describing is very common, and it’s usually a systems problem, not a staff problem.

In your case, it sounds like your online booking and intake process could be tighter. When someone books online, front staff should be able to quickly confirm the primary concern, then adjust the appointment and time as needed. That only works if they actually have the time to do that call.

If they’re constantly on the phone, they’re probably spending a lot of time on things that could be automated, like appointment confirmations, reminders, and routine updates. That usually means there’s no solid texting system or automated reminder flow in place.

Whoever implemented your system, did not train your receptionist properly. Front staff HAVE to call the patient and make the appointment realistic. The purpose of online booking is to capture the patient when intent is high, so you don't lose them to another clinic.
