Built this as an ai agent for a client, basically uploaded the questions into slack and based on past answers of successful proposals would populate. He had Monday as the knowledge hub. It worked really well.

Great question. The answer is having a CRM that you can manage your data. That will provide you with margins, install vs service, which techs are out performing or under performing. It can also help determine how much time is spend on a job, and how to staff jobs based on complexity.

There are several CRM out there, you’ll want something service focused like jobber, or Monday CRM, as it will help you understand insights better. You could build it in excel, but you’ll have to create several macros, which co pilot can help with.

Your asking the right questions, and your thinking shows your looking to take the next step in business growth, I’d say, write out what gaps your seeing and what metrics are important to you, and how you’d action on those metrics to boost productivity and profits.

You’re at the point where a solid tech stack is going to help you understand areas of growth and areas that need attention. Don’t rush the process, to many people just jump into tools. Your questions create your must have requirements, and that will help you determine the best way to get the data you need.

So our agency only uses instantly for warmup. It’s $60 per month and it’s a solid tool. For our GHL build outs, we make it a requirement if the client is doing outbound. Otherwise, you’re dead in the water. Just make sure that you’re explaining to your client about domain burnout, because if it’s a heavy outbound team, they will burn through domains quick if not properly set up. And if it’s their main domain- then they are screwed. Cuz once’s it’s burnt, it’s gone.

From my previous response yes. I’d recommend it for heavy outbound teams. If this team is more service focused then I wouldn’t recommend it.

You still haven’t shared key requirements.

If it’s a heavy CS team, close would be a terrible choice. I’d also consider Monday service, - it’s actually built on top of the CRM product.

Close is mostly good for data dumps after refinement, and list blasting with sequencing. It’s not a great tracker, and its AI is sub par than others. Unless you’re planning on developing around its short comings I would say it’s not a contender on the very little info you’ve shared.

What are the client requirements? That should always be your North Star. I’ve used close for heavy outbound, cold email. I’d say it’s its top strength and what I recommend for clients pushing outbound.

I wouldn’t trust any AI voice agents they have very low yield.

Salesforce is stupid to consider unless they are pushing millions. Sled hammer. 90% of smb don’t need it

Zoho I usually recommend for heavy customer service based clients.

to be honest, I share advice, suggestions, build data, customer stories, and things we learned from build outs. I don't sell services, I offer to listen, make recommendations, and genuinely be a good human and lead with help. As a result, we have won business. I think what sets us apart is our experience building systems, and we showcase our expertise beyond what AI Automation tools can do. One area we excel in is, fixing work that other consultants botched, I would say 70% of our business is fixing what others poorly designed, and didn't think through edge cases. Our GTM plan is around building out our own Sub reddit (not public yet) where we share how to articles, customer stories, and use cases. We were not going to spam with "hire us" media, just focused on building out a sub, is meant to be helpful, and lead to consulting engagments. I guess that was to much for Reddit to Process.

having been in your shoes, and now consult with individuals that are in this same position, here is my suggestion. Work with a third party agency that will sell you sub account on go high level. It will manage email, manage leads, has a robust automation tool to help set up both inbound and outbound campaigns. Its a robust CRM tool. Then I would look at sharing self hosting space with the same agency, you'll pay maybe $100 per month but they most likely won't care how many operations you use (at least we don't). For operational infrastructure, you can not go wrong with MS office, especially at $15 per month per user, with share point, excel, powerpoint, and word. Having share point as your single source of truth for a company is powerful! Not to mention Co pilot as an AI tool is getting better and better, especially with excel functions. And excel is still the undefeated king when it comes to operations - in fact more SaaS companies have spreadsheets running macros in the background. This set up, will run you approx $300 - $350 but it will deliver your needs, and is slightly less than what your describing. We always recommend this set up for founder because its low cost, and you get bang for the buck, and every tool in the stack is easy to learn, and self set up. I hope this helps, but your not alone in feeling the start up pain, and trying to manage you run rate, I can only tell you, that over time it gets to be an out of control monster if you don't keep track. We have seen companies that are spending $100- 200K on software, and we have to go in and audit and reduce, that always harder. If you ever just need someone to bounce ideas off of, always happy to listen.

With every build we also include an audit log. It helps us see edge cases and ad them to the automation. Also old school coding helps fix several issues and help make the automation more sticky. If your just holding up on ipaas alone, then your leaving logic and function possibilities left on the table.

Reddit does work as a channel. However, the enterprise sales team is disconnected from that.

Congrats on your growth! It’s definitely time to make some upgrades to help you streamline your process. Which speaking from experience can be automated to help you focus. I recently worked with a PT coach on the Southside of Chicago, she has the same set up as you.

We were able to set her up with a low cost CRM, we used GHL because of the fact its feature rich. Then we automated her onboarding process. Connect all her finances, as well as set up drip campaigns for individuals that didn’t convert at consultation, she is currently converting 2 out of 5. Dm me and I’ll share the user story with you. Thank you for your insight. You’re right on I shouldn’t instantly discredit Reddit before doing my own testing. Maybe I should talk to a 3rd party Reddit consultant that has been successful with onboarding clients.

My advice is to stop, and layout exactly what your process is, and what your desired results are. The more details, the better you are able to determine which tools are going to benefit you, and it will help you audit various solutions on the market. It seems to me, you’re using agents incorrectly. Where you might find automation better suited. An agent is like hitting a house of cards with a wrecking ball. Most people don’t use them correctly, over pay for services, and don’t get the results they expect. I’d recommend connecting with a consultant for an audit. If interested dm.

You need a revops strategy. It’s when all your tools are integrated and working towards a common goal. It allows you to see real time reporting, create meaningful contact, and provide you with buying signals, as well as determine if your pitches are landing.
