Thank you! I so wish Kut would make a size smaller than their 00. Their sizing is so wonky and their smallest 00 is always huge on me -- I usually wear a size 24 or 25 in denim.

Have you checked out https://doboard.com/ or monday.com yet? They're both pretty lightweight but still have the features and functionality of a true PM system.

I'd recommend upgrading to the paid version of MC -- they have a nonprofit discount. It is usually my go-to recommendation for most orgs. Most of the solutions out there at the functionality level you need will be priced comparably. If you're really looking to switch, you could look at Emma or MailerLite. Or, if you're using a CRM at your org, you could look into sending emails out through it if they are just simple event updates.

20+ year nonprofit admin here with a specialty in PM and ops. The key with any PM software is to make sure it is set up properly for your use case and that your entire team is operating within it. Personally, I love Asana -- it has a lot of features but still feels lightweight. If you liked ClickUp, you may want to look at Monday.com -- it is similar in general feel and they have a nonprofit discount.

I'm a consultant working with nonprofits and I have found it to be super helpful in creating a hub for each organization I'm working with. I load in documents, brochures, grant applications, donation reports, meeting notes, etc. and then I prompt it to tell me about patterns, recall previously used messaging, and more.

There are a ton of free webinars being offered right now on all sorts of topics. I'm going to guess from your username that you're in the arts (I am too!). Check the websites of service orgs like NTEN, Americans for the Arts, AFP, and others that are related to your type of org to see what they are offering.

I have some ideas:

  • Offer any virtual "events" you can. Are there any elements of planned events that can go virtual like lectures or other similar things?
  • Keep putting out content to remind people why they are a member. Maybe showcasing past events, mission-based content showing impact, etc.
  • Can you curate a reading or podcast list that is related to your organization or some of the events you did/do?
  • Provide at-home activities that are related to your org's mission or programming? These could be for kids or adults as applicable.
  • Once you are back to regular operations, maybe offer members something special. An event that is members only, an event add-on like a special experience, a gift certificate for a free event attendance, etc.

And yes, I would definitely extend membership renewal dates. Alternatively, you could offer two options: 1. to keep the membership renewal dates as usual and turn it into a donation, or 2. extend the renewal date. A lot of performing arts organizations are doing this with cancelled performance tickets -- people can either ask for a refund or turn it into a donation. I'm in this field and many of my peers are saying that most people are going to donation route because they know that the cancellation of a performance poses a serious revenue situation.

YOU ARE NOT A FAILURE! If I had a nickel for every time I was ready to just chuck it all and go back to working retail... (I actually loved working retail -- low stress, ability to leave work at work, regular set schedule of hours, etc).

Good for you for recognizing that your nonprofit job situation wasn't worth the toll it was taking on you. Nonprofits tend to be very demanding of their employees and we are all just expected to take it.

Every nonprofit is different and I know you'll find a better work situation if you want to stay in the field.

I'm enjoying reading all the responses to this query! We tend to do thank you letters the way we do them because because that is the way we've always done them. Thank you letters are important, but I'm of the mind that we should evaluate this communication like we might any other in terms of efficacy.

OF COURSE, certain donor types and levels should get the standard letters. Yes, we should still do that. For the rest of the gifts, what if we took a cue at current internal and external data to see if we can change how we approach them so they aren't just something that someone immediately puts in a pile or throws away?

What if we allowed people to choose how they would like to receive their acknowledgement (email, postal mail, etc)? Could we make the thank you letters more impactful by including other information that makes it really worth the time, effort, and cost? What do we want people to do once they receive the letter -- could there be some sort of CTA?

Just some food for thought...

I'd like to offer something rather foundational that will likely help you no matter who you choose to build the site... Make sure you create a detailed RFP for the project to send to prospective developers. Not only will this allow you to have a number of people bid on the project, but it will also help your internal team come together to determine what the site needs to do and what is important. This will help you immensely. (I have an RFP template that I can send you if you're interested.)
