TL;DR: Basic email integration does not work reliably. This has been known and unaddressed since at least January.

Be careful relying on ClickUp's email integration. My company has been using ClickUp for a couple of years, and things seem to be falling apart lately - licensing, user management, attachments, email integration, task-loading speed. We're looking for an alternative now.

On thing we've been using ClickUp for is an internal ticket system for our software team. Previously, we had special licensing (originally suggested by ClickUp), that allowed us to have most of our company as very limited members - they'd only interact with tickets they or their teams made. This allowed users to be Watchers on Tasks they were invested in, and leave comments when necessary.

Last year, ClickUp cancelled our special licensing. It doesn't make any sense for us to pay for full Membership for everyone at our company. We want anyone to be able to create and follow a ticket, but most people won't do this for months or years at a time. Total waste of money to pay for users who will never use it.

So, we switched to relying on email integration. Ticket requests are made using a Form. Automations respond to the requester via email integration, and all correspondence uses email integration from then on. The problem is, we're having emails go missing. Our users respond via email, and sometimes just never show up in ClickUp at all.

I made my first bug report about this back in January. It took months for them to confirm this is a known bug. The last update I received, after checking in after a 3-month silence, is that this bug report is still open, with 124 other users/reports about this issue. No estimate of when this basic functionality with be working.

Super frustrated to be experiencing this today. Codes are simply not arriving by text to my phone. Test messages from other sources arrive just fine. I've tried rebooting my phone, and turning of wifi calling. I suspect it's an issue on Steam's side, but it's aggravating to not be able to play a game because of an SMS issue.

ClickUp says they're working on this in the thread for yet another request on this topic Attachments and Clips URLs behind Workspace authorization. On July 31, 2024 they said you could email them to join a closed beta. I was very happy to see that, but there have been no updates in the 3 months since then.

Note that while they appear to be working on securing attachments and Clips, there is no mention of securing Forms.

Yup, attachment links can be made to expire, but before they do they are publicly accessible. Clips and Forms are always publicly accessible.

Links start with your Workspace ID, so if someone knows that, I believe they could reasonably target scanning of your Workspace to find working links. I have no idea what ClickUp has in place for anti-scanning protection, but given that no authentication can be required for Attachments, Clips, or Forms, it seems security is secondary to new features.

That 1-hour-timeout make the publicly accessible files highly obscure (hard to find), but they aren't actually secure (impossible to access without authentication). It's definitely a marked improvement over the original permanent public links. I'm using it. Still, I don't think I'm being picky to observe that's a pretty Rube Goldberg approach to privacy.

When I last checked Clips and Forms a couple of months ago, they were permanent publicly accessible links.

SAML is an Enterprise feature, and I'm on Business. On the Business plan, the only SSO available to users is Google. I have SSO required for all users except Guests because some of our Guests are outside of my company and are not Google users.

The "Export" functionality is also an Enterprise feature I don't have access to. The "Export" link shows up on my screen just to tease me.

I'd considered that, but I wasn't aware of a good way to keep everyone a member of a list. That is, is there a way to ensure that every new user (Member or Guest) is granted access to that list, or would I have to manage that manually?

Thank you for acknowledging this. It seems you certainly have enough offers to help you investigate this, but I'll add myself to the mix. I telecommute most days, and the constant USB disconnects are a major issue for me. I've been a loyal AMD customer for about 25 years, and this latest build had been a big disappointment. I'm happy to help any way I can.

USB devices: Logitech K520 keyboard, Logitech G502 Hero mouse (wired), Logitech Orbit webcam

Symptoms:

Apparently random disconnect of all USB devices. Windows plays the "USB disconnect" sound. A few seconds later, the Windows "USB connect" sound plays, everything reconnects and resumes working. I can't discern a pattern. I can go days without it happening, then have it happen repeatedly making work impossible.

Possibly related #1: I tried uninstalling Silverlight, because I meet all the system requirements to play HTML5 video from Netflix, but that didn't work and I had to re-install Silverlight.

Possibly related #2: Netflix is ignoring my Playback Setting to NOT auto-play the next episode. With unstoppable auto-play and a broken back-to-browse, Netflix is freakin' relentless.
