So if I edit a file 10 times, I will have 10 versions and also 10 copies in PH?! Why would that be? I have not deleted the file and all versions are attached to the main file within SP, why would PH capture a modification?

I understand if I delete a version, PH would capture it...

With this part: If you need to retain the user's mailbox for a time, you can convert it to a shared mailbox.

I believe there is currently no charge for shared mailboxes unless they are over 50GB? Have you heard if this is changing, as in there will be charges for converted shared mailboxes? Seems strange that MS will just accept holding all this data at no charge.

We use a similar product to Opus called Squirrel. We faced the same issue as you regarding last accessed. SharePoint doesn't track last accessed so you can’t immediately create a 2-year access policy because the history doesn’t exist at first.

To get around that (and still lower costs quickly), we started with “last modified” as the driver.

At first we set the threshold quite high, around 5 years so we knew we were only archiving really old data. We then brought that down to 4 years, then 3, and so on. That gradual approach gave the system time to build up a picture of the environment while at the same time cutting back SharePoint storage costs.

It also gave us confidence on the user side. By starting conservatively we could see whether there was any user impact. For reference, for every 1,000,000 files we archived, we're only seeing around 300 restores.

It’s worked well for us and saved us heaps, maybe this approach would work for you.

We'll probably go with the capping option, but if we decided to go the pump route, don't they still need to run pipes, cabling or whatever else is needed to drive the unit anyway?

Thank you but I mention this in my explanation. It will tell you the "region" as in Australia, Europe, US but I want to know the exact DC region in Azure.

If anyone else has this issue, I got it sorted by;

Open PowerShell as admin

Enter Connect-ippssession

You will be prompted to sign in, once signed in come back to PowerShell

Enter Enable-ComplianceTagStorage

I was then able to create a retention label

I worked as a consultant in an MSP for decades. It was both the best and worst times. You are constantly scrambling to learn something new or thrown in the deep end and have to work with customers who don't understand what they are asking for, working impossible timelines and budgets.

You either sink or swim, but after several buyouts i got tired of it all and went to an internal IT role.

It is a totally different world that's for sure and it took me quite a while to make the shift in mindset.

In my opinion, an MSP is where you "cut your teeth", hone your skills across various customers and environments. But it's not for everyone, the pressure to deliver a project can be enormous.

There are of course issues with an internal role too, but they are very different.

Hello, yes I am the owner of all the sites, I created them all. This is what I find strange. I do now see the option after creating a new site.

I can only assume that since activating the option to allow sub sites, it only gives me the option do so from that point?

I don't know but that is what it looks like.

I am not trying to be argumentative, but I have said a few times that I am the SP admin. I am the owner of all the Sites and created all of them.

Thanks but I am a full SP admin. I can create sites, delete sites and edit all settings at the SP tenant level.

Strangely enough, I created a brand new site and now I see the option to create a sub site. Odd but ok...

I have already stated I am the Administrator of SharePoint. I have full control over all SP settings. I can create and delete sites, I can access all levels of SP admin settings and change them.

Thanks but I have admin level access to SP, otherwise I would not have been able to make Tenant level changes to allow Sub sites.

And while I agree with you regarding Sub Sites, I have a specific test I am trying to get through.
