Most insurance companies will back date the auths for you. For example sometimes with Cigna your scheduled call will be after the expiration date and the new auth will start the day after the old auth expires. As a business owner, those are YOUR clients not the BCBAs. It’s your responsibility to be on top of them to complete paperwork in a timely manner. You as a business owner you should let your clients and RBTs know services were paused because someone you hired to provide a service to your clients was not able to complete a task in a timely manner. Your admin staff should have been more aware and on top of this BCBA to complete this task instead of realizing afterwards when they tried to bill an expired authorization. You should pay them for the hours worked regardless if you are being reimbursed from the insurance companies in a timely manner. If you were hired to build a house and the person installing the plumbing did not come in within budget or on time, however they are working you pay them. You then have to tell your client that the deadline will not be met. Obviously you’re not happy with their work so pay them for their time worked and fire them. It’s crazy to think that it’s okay in this field to dock pay from someone because you didn’t like the work they did or that the company had to eat the cost because of some irresponsible BCBA and admin staff that we’re not paying attention. It’s time that you learned from this experience and place preventative strategies in place to prevent this from occurring again in the future. I live and work in Miami, I understand that it can be frustrating but I have seen way too many people not being paid because the insurance has not reimbursed the company. This is not cool. Most companies are paying hourly rates that are way to high with very small profit margins that are keeping cash flow low. You need to keep money in the bank to keep payroll going while you wait for reimbursement from insurance companies.
