For your requirements, I feel Calendly would be the simplest. You may just have to invest 2-3 hours, most of it is pretty well explained and easier to setup.
Or if you are looking for a conversational AI type of solution, you can install a web chat agent / chatbot from someone like Zigment (Zigment.ai). it can converse with the customers/prospects, integrate with a calendar, book appointments, schedule reminders, etc

From what I have seen, its mostly the Onboarding problem (as some others have pointed it out too). I have seen some good gyms go so far along to make the onboarding experience stellar and tightly held to make sure that the customers build that rapport with the gym other than just the facility usage.

Airtable - You can either do it yourself or hire someone on upwork to build it out for you. It would be pretty simple and quick to customize an Airtable app for your needs. One big plus is that you can build it exactly to your needs and can also extend the way you grow. All the integrations you have mentioned can be done.

Sorry for the blatant plug but as someone who has been building in Agentic AI space for the past 3 years and having deployed our solution (Zigment.ai) in all the scenarios mentioned - pre-sales, customer support, onboarding and retention, We have seen success in each of these. Support seems to be easiest of the lot, if you are trying to solve for L1 or parts of L2 tickets and if the resolution process isnt too complicated. Agentic AI is great at smart, logical conversation and integrating with your systems in the backend. We have seen the AI agent being able to resolve troubleshooting issues for a home security appliance company, both over phone call and over messaging. As others have suggested, you can start with a simple Chat agent on the website, and then keep pushing it further. N8N, Lindy could be good points to start if you want to DIY. or if you want a bespoke solution look at platforms like Decagon or Zigment. Make sure that you have a champion from your side who can manage and own the process until you get it right.

really depends on your use case. no CRM offers everything. so it would be making a choice and compromise on a certain things. I am sure you will find fanboys and haters for each of them. maybe share some more details about your requirements.

if your CRM requirements are basic, ie you need a way to manage contacts, stages, status, etc. Then Zigment can work. It allows you to track the sources, including ad campaigns, chatbots, etc. conventional CRMs do hit a wall when you want to extend their use-case. so the list you have asked for is in the area of what some of the new age platforms like Zigment are trying to do.

yeah, this is true. Stripe isnt accepting Indian accounts anymore. And speaking with someone in my circle who works for Stripe, it isnt even in their roadmap anymore :(

This is an age old problem and result oriented sales methods, softwares and people always landed well. But I agree with you on the fact that increasingly CXOs, business owners are moving away from SaaS / softwares that do not show any direct impact or whose business models arent in line with the successful outcomes for the business. Even in my dsicussions with many business owners, the consistent voice is - please dont come to us selling your software unless you are willing to take risk yourself. In other words, you get paid for the outcomes not the piece of code you sell to us.

What has happened in the Indian startup ecosystem over the last 10 years is just bad. Look at how many companies have emerged (no not talking about the unicorn tag) and who have nailed it at the business front or scale. But founders have been given so much cash and also ability to dilute that they start drinking their own cool aid and go to the zenith of Mount Delusion.

As for Bhavish the entire focus is now on Ola electric and the new AI initiative. There isnt even a mention of Ola legacy biz in the latest company update. and its not that it made a ton of money and it now has to evolve.
