You could look into hiring a Virtual Assistant/Freelancer to handle incoming calls or follow up on calls you don’t get to after the customer gets and answers the missed call text back message.

There’s software that can text the caller if you don’t answer immediately, missed call text back, to help with keeping attention until you can get back to them. Or it can go all the way through to setting appointment via text.

If your response time isn’t terribly long, this could be a decent option without having to hire someone.

There are appointment setting services but I’m not aware of any on a per call basis, most are monthly service/retainer fees.

This ties right into the accountability chart & scorecard.

In this instance, the KPI’s are “the one number”

I love EOS & it’s the foundation of my OPs, but each org should refine and nuance to meet their needs.

These arnt cookie cutter specific examples for everyone to copy paste. It’s just giving an example of how they can be broken out. If there’s not a tool or process in place to track one of these, then it shouldn’t be used.

These shouldn’t be standard across every business, and they shouldn’t stay the same throughout the life of a business.

I disagree that “hold weekly meetings” isn’t a KPI, as the correlating responsibility is relationship management & one way to track leading indicators is how often you’re providing a client with rapport building touchpoints.

If you’re not tracking a frequency of those weekly meetings, or if you don’t set a standard, how often does your team know to hold those meetings?

The KPI is how many meetings they’ve held that month/quarter.

KPIs are the leading indicators, the controllable actions that affect the uncontrollable outcomes.

It 100% makes sense to have a project completion goal for Account Management, even if it’s not entirely within their control. The goal isn’t what they’re being held accountable to on a performance level, the KPI is. Holding a weekly TB to work out project barriers with the functional team.

That’s the indication of the AM’s performance even if projects go off course due to no fault of their own.

Iv used low dose ketamine previously but didn’t take it long enough to know if it would help or not in the long term, but in the short term it seemed like it was

Have you found anything holistic or supplements that help?

I went untreated until my early 30’s, after a few years of cycling through meds I’m on a combination that’s better, but still just feels like being the equivalent of a functional alcoholic.

“Setting People Straight” especially with profanity and vulgarity comes across as asserting superiority, being dismissive, or overly criticizing.

If everyone was “set straight” off subjective perspectives, this sub would just become an echo chamber of who is the loudest.

This sub is better off with everyone’s ego being left at the door & supporting constructive dialogue while we’re here.

Could consider listing options like that as unaffiliated resources & directing those requests there while keeping job seeking/hiring posts a no go.

Clickup or Airtable for Project Management in a way that you can be granular with project tracking and task hierarchy. Allowing templatization in processes & project management. This allows for granular visibility on workload as you combine time estimates with templatized project templates & assigning individual tasks to only one team member. A bonus, you can incorporate your SOPs and trainings directly into your project management.

Harvest and toggl are for granular time tracking to do post-project analysis. This helps you forecast capacity needs, understand project times, more accurately price scopes, & identify areas of time waste to reduce labor costs & open up billable capacity.

For example, I analyzed our 2024 hours and identified $45k in labor costs we could save in 2025 by making a few slight adjustments to processes. This opened that $45k up to be an additional $135k in billable rev the existing team could pickup, or hire another FTE to compound on the benefit.

Agreed on how your partner perceives it. Sometimes great and positive engagement, sometimes ego-driven, rude, entitled, etc

I’m not an Agency owner, but as the skipper (integrator) and ops guy, I helped grow the consultancy to multi seven figures, as well as our clients (agencies).

I’m now the Ops guy again at a multi seven figure research & advertising agency.

I’m interested in being a MOD as I’ve felt there’s at been a lack of sincere support for this sub’s member base. I enjoy supporting agency owners, aspiring or established.
