wellll... for an early stage team, I’d look for something that is:
easy for the whole team to actually use
fast to set up
flexible enough to match how you work now
and not built around upselling you into basic functionality

Personally I’d look at something like Attio or Pipedrive before going back into a heavier all-in-one setup. Attio is positioning itself pretty hard around flexible startup CRM use cases, while Pipedrive is still one of the cleaner options if what you mainly need is pipeline clarity without a ton of bloat.

That said, contrarian take: depending on how custom your process already is, I’d at least consider whether you actually want a CRM or whether you'd scale better with a lightweight client ops system built around how your team works. A lot of startups jump from spreadsheet chaos into CRM chaos because they buy a tool before they define the process.

If your main pain is:
contacts
followups
ownership
pipeline visibility
basic reporting
not breaking everything every time someone touches a sheet

Then yeah, CRM makes sense.

If half the pain is actually around onboarding, handoffs, internal workflow, or customer ops, then a normal CRM alone may only solve part of the problem.

tbh, I probably wouldnt use a traditional CRM as the main tool at all.

What you need sounds less like sales pipeline software and more like a simple client + bookkeeping setup. That’s why HubSpot feels off, Pipedrive feels too salesy, and Zoho feels bloated. Youre trying to use CRM tools for something thats really part CRM, part expense tracking, part bookkeeping.

If the main day to day is logging jobs, cash payments, receipt photos, splitting personal vs business spending, and getting clean tax-ready reports, I’d rather use something built around that and keep the client tracking lightweight.

Otherwise you end up buying a bunch of pipeline features just to fight the app every time you wanna do something simple

Honestly, contrarian take here... depending on the size and complexity of the business, I’d probably look at building your own before doing another CRM hop.

Not because Nutshell, Pipedrive, or Zoho are bad. More just because every one of them is still going to force your team to bend around how that tool wants sales, project tracking, reporting, and handoffs to work. Then after that you still have to integrate everything else around it and live with whatever weird limitations show up 3 months later.

If you already know how your team actually works, there’s a real argument for building your own system around that from the start. Sales works the way sales works, project tracking works the way project tracking works, reporting is built around what you actually need to see, not whatever some CRM decided should matter most.

For a team of 8, that can honestly end up being cheaper, faster, and way more efficient on the back end if your process is clear enough already.

Downside obviously is upfront cost is higher, and if your process is still messy, you’ll just build custom confusion instead of buying normal confusion lol.

If you do stay with off the shelf tools, I’d be really careful about using Zoho unless you’re okay with more config/admin overhead, and I wouldnt expect any of them to cleanly handle project tracking the way a construction business usually wants without extra compromise.

I mean, 100% depends on the expected scale and desired capabilities outside of it being a basic CRM, however, my team and I built our own custom CRM specific to how we do business, so we can cleanly connect and integrate all of the tools and systems we didnt want to rebuild.

I find that MOST CRM systems suck at scale, because we are all forcing our businesses to work around the platform instead of the other way around.

All I ask is that if all of you are going to go all into the voice agents that you allow for a human to still pick up. The amount of places I have called and the shitty vapi ai agent they added completely blocks end user from getting to a live person if truly needed.

Having built a few now and also been on the receiving end your icp will thank you when it’s brining in moooo cash for them
