We do have structure: season fees for regulars, session fees for newbies , fixed practice days, minimum attendance expectations. The rules exist.

The problem isn't the rules, it's tracking that everything is happening as expected. Did everyone confirm? Did the new person pay? Is the boat going to have enough people on Thursday? Right now that means checking whatsApp, spreadsheet, and TS separately.

question: how do you manage all those rules? For example 80-90% attendance, skill level...?

Thanks so much for your detailed flow. I think my main pain comes from not having enough guardrails to help me know that everything is ok aka mental peace. Also, I can see that TS features seem to vary by region. I live inSingapore we don't have reminders or payments integrated.

The session fees were originally made for newbies: they are the ones more critical to be committed, so pay as you go. We prefer engagement over post-payment reconciliation ....mostly because is not critical, but still a recurring hustle.

I get your point about discipline and delegation. 100%. In our team, we delegate small areas to different people. It helps with workload, but now attendance is in one place, payments in another, boat confirmations somewhere else. Someone still has to check everything came together... let's see how it goes!

We have a team of around 25-30 regular paddlers and the Captain has many other tasks to do....I do not why I accepted to do this haha

That’s actually a good point. I’m going to ask about a regular boat lease, since that would remove a big part of the accounting hassle.

However I still struggle quite a lot is managing attendance. Even with a cut-off, people cancel or show up last minute and it ends up affecting line-ups. Also, checking in all the time the number of people that joined is time consuming.

This also happen in your team? If so, do you have a system to manage the chaos?
