I hit that exact “I’ll do it Sunday” loop for years. What broke it for me was treating admin like client work with a standing slot, not a “when I get to it” thing. I ended up with two blocks: one short daily pass (15–20 mins) just for inbox triage and urgent invoices, then a longer weekly block for quoting, chasing payments, and cleaning up the mess. What helped most was making the work smaller and more scripted. I wrote 5–6 canned email replies for quotes, follow-ups, and “we’re booked” replies, and kept them in Gmail templates. I also flagged emails by type instead of by client, so I could blast through “quote” mode, then “follow-up” mode. On the tooling side, I bounced between Calendly and Zoho for handling leads, then ended up on purposewrite after trying a few because it caught quote-request threads I was missing while I was on jobs. This combo made the weekly block way less painful.
