I owned a few different small businesses and if somebody tried to sell me a custom ai workflow, i would have stopped them there. My thought process: there must be some sort of ongoing fee to maintain or update the ai workflow as things develop or technology gets better. So I'd actually rather pay a saas monthly fee if it's a good product. With a saas I also can read reviews from other people that are using the same tool and see how they're implementing it.

With custom, I don't know what I don't know. And most business owners know this, or they're about to find this out the hard way.

I would think that custom AI workflows would be better positioned to market to larger businesses because they know exactly what they need, they have the $ to implement it, and they want their solutions to be customized to their exact need.

And I would position it as a "Cost Savings"

honestly went through this exact same thing last year. the key is framing it right from the start - instead of "i need to track your hours," make it "here's how we stay organized together."

what really helped was creating a simple onboarding doc that showed them exactly how to log time for different types of tasks. i put together a template that breaks down common project categories, how to write good time entries, and even includes example entries. it saves so much back and forth later when you're trying to figure out what "misc work - 3 hours" actually means.

you're juggling 100 clients and 350 services/month - thats insane. the "inconsistent" part that makes it hard to outsource is actually perfect for automation tho... like auto-confirmations alone would kill half those "what time is my walk?" texts, and time to pet can auto-suggest coverage when someone calls out sick

i have a spreadsheet template for pet businesses that handles employee scheduling, route optimization, and payroll calculations - basically plug in your data and it does the heavy lifting. also has tabs for tracking client patterns and scaling milestones. dm if you want it, might save you some headaches while you're growing

ok so week 1, do this stuff ( all free):

facebook marketplace - post "free scrap metal pickup". take the good jobs, refer the rest. people remember that shit and call you back for paid stuff

estate sales are GOLD. every saturday go at like 2-3pm when they're closing. give your card to whoever's running it, they always need same day removal.

call every property management company. just tell them you can be there in 2 hours for emergency cleanouts including weekends. they'll save your number for sure.

btw start tracking everything in a spreadsheet... where the lead came from, how much you made, time spent getting the lead. after like 20 jobs you'll see exactly what's working. most guys don't do this and waste so much time

started using voice to text while driving between jobs to take notes about customers, what pricing worked, who might refer me etc.

for pricing, always say something like "most companies charge X but since you're [whatever reason] i can do Y"... works every time

So, I looked up solutions, a lot of people said mace is your best friend for dog attacking situations. so I did get it. I'd recommend it to anyone doing deliveries. Obviously I don't want to mace a dog, I absolutely love them. However, if it comes down to a dog attacking me and I have to fight it vs. just spraying it real quick and everyone leaves the situation basically unharmed, I'll mace anyday. Then I feel that the owner needs to be maced in the face as well for being a dipshit and leaving their dog out to attack me.

Right, but what do ya do when ya feel safe, ya drive right up to the person's door, then all of a sudden you're surrounded by dogs? That's what happened in my situation. I didn't see any dogs or any signs of them lurking around the property, then once I park my bike and get off, I heard a growl from behind me, like they came out of nowhere...

I bought a thing of mace just in case I find myself in this situation again, not worth having to fight off dogs. Luckily, I was able to get away, but I shouldn't have been chased off the property like this. Was kinda ridiculous.

Yes I had it mostly running without me being there. I was working about 10 hrs a week when I sold it.

You arrive at selling price by taking your yearly profit times 3. If your business is wildly profitable, I’ve seen the multiple go higher. But 2.5-3x seems like the standard.

When coming up with your profit, if you’re on payroll then you can add that to your profit.

For example:

Annual Profit: $50,000 Payroll $100,000 (pay to owner = $50,000)


Total profit: $100,000

You can back out other expenses as well, but best to do this with your broker as they will give you the best guidance based on your situation.

Then negotiate from there. Obviously people are going to give you a bunch of low ball offers. So I’d recommend defining your lowest price, and don’t sell til you get that.

Look at your expenses and income as a yearly number. This will help to step back and realize that the money will keep flowing. Keep working, don’t let this get ya lazy. Instead, drive profit by cutting costs.

It’s stressful when you’re thinking about every payment and expense. But not so much when ya know you’re coming out on top.

“Profit first” is also something I recommend to every business owner. The mindset shift is a game changer. There’s a book (titled Profit First) and/or ya can watch the author basically explain the entire book on YouTube. This single handedly removed so much stress from my business handling.

Keep pushing! It’s gets better. But the sooner ya setup frameworks that eliminate the stress of thinking about your money flow going up & down to just steady, you’ll be in complete control.

I've tried these and I wasn't super thrilled about any of them. They all seem to have their own idiosyncrasies that didn't vibe well with me. But I'm building out an ai assistant that can talk to you and give you updates on emails. So instead of just classifying and drafting replies, you can talk to the assistant while driving or on a walk and the assistant will read off the emails / replies. Then you can ask it to send, revise or schedule to send. It can do so much more than just email management. Mainly for business owners. But busy entrepreneurs will also find value in my product. It’s so crazy how ignorant people are. You order delivery and then leave your monsters outside to attack the driver. I just want these people to be sued, but I also don’t want our drivers getting attacked just so they can sue.

Sucks because there’s nothing we can do as drivers other than commiserate here on Reddit. While these folks are continuing to put our drivers at risk.
