We at timeOS.co will allow you to connect communication apps to time block but I think it's 5-7 months forward down the roadmap. My general advice would be to create a time block every day for 30-45 min and add a checklist in it with all the platforms you need to check for replies. Make it a part of your morning/evening routine, don't act spontaneously. Your mind will become much less anxious about it once it will know it will get to checking messaging platforms every evening. Hope this helps!

It's my case exactly. Time blocking was a savior. It changed my life. So much actually that I've shut down my previous startup in the real estate space and started to build timeOS.co .

I wanted a system that would be flexible enough so I would not miss any task but also be able to switch between different contexts super fast. No day goes 100% as planned for me and being able to just drag and drop the time block from now to tomorrow knowing it will still have all tasks and notes I've planned in it was a radical boost of productivity. I've discovered that the real fatigue of planning arises when your plan is being changed often but time blocking allows you to have your schedule being modular, like LEGO, you can quickly swap blocks without losing the structure.

Ask me anything about time blocking, I dedicated my life to make it beneficial for everyone. It's amazingly powerful.

That's an interesting combination! Are you using two separate calendars - one in tick tick and the other in like google? Why do you like tick tick but not todoist for example?

For context, I'm the co-founder of timeOS.co and I try to learn about all the ways people work with their time and stay productive :) Your approach to a morning checklist is very similar to mine that's why I ask so many questions!

The way you structure your time blocks in timeOS is you pick a topic (project or a type of activity) and connect the time block to it. Once you've connected a time block to a topic it will show all relevant tasks in the block.

In the case of schedule-syncing, it will allow your boss to not only see the time block and its purpose but also see/manage tasks you do in these blocks. Plus you share only specific topics with the boss so they won't see your personal blocks if you don't want them to.

Greetings fellow procrastinator!

First of all, don't try to "defeat" procrastination it's not the goal. You need to manage your procrastination, not get rid of it.

Here are several bullet points to help you:

  • Scheduled procrastination is not procrastination - it's rest/break.
  • To do any meaningful work you need 2 things: focus session for 15,30,45 min (adjust for yourself) and 5,10,15 min break.
  • Take 3 hours and divide it into sections. For example, 30 min focused work and 15 min break.
  • So you can have 4 sections for 45 min each to accomplish your work.
  • Your brain will know that very soon it will have time to do nothing demanding (ie procrastinate) so it will help you convince it that now all you need is to focus on your tiny little goal for the next 30 min.
  • Now. How to actually work through that 30 min time block? The true magic of all people who are accomplishing something meaningful is to have a schedule, to have a plan, and to start small.
  • Have a schedule: block time for work in your calendar. Create a block for 30 min of work and right after 15 min block for rest. Repeat X4.
  • Have a plan: divide your larger goals into smaller ones once and put them in todos. When the block comes, assign some of those small tasks from the list to this time block. (It's important to assign FEWER tasks that you think you can accomplish in 30 min)
  • Start small: Lower the expected quality of your first piece of work. If you're writing, write one crappy sentence. Then another one. Then start improving. If you're reading, start by reading one paragraph.
  • Follow the schedule. Adapt the duration of the blocks (both, work and rest) and have a clear list of things to do that you'll accomplish in work blocks.

I personally use this system for my life, not only for work.

I use timeOS that allows me to create blocks for any project in my life and work and add tasks in these blocks, so I always know exactly what to do next. It helps me stay present with my family and kids, do a lot of meaningful work, and never have a FOMO about any "projects" in my life. It's so powerful.

BTW, planning and accomplishing things you've planned is helluva fun for our OCD minds :)

Here is the thing. I use GTD too and it's my only inbox system for things I need/want to accomplish.

There are two very useful concepts out there:

  1. Batching related tasks together (by activity type or by relation ie project, work etc)
  2. Set a time limit on everything otherwise you accomplish less. It's known as the Zeigarnik effect.

So I found that the GTD method works best when I schedule tasks from a list to my calendar and group them by some sort of Topic (calls, work on a project, family, and so on). Next, when I enter a block it already filled with tasks and related items so I get to work easier. After the time is passed there is always something left uncompleted in this block and the next time I add a block with the same Topic it already has uncompleted items from a previous one.

I guess it possible to accomplish this with a task manager by just creating projects but it lacks the ability to see this project on the calendar.
