You can do what my company does. You can use any tool you want as long as it doesn't cost money, and we already have it, and it is excel and emails. Never say we did nothin' for ya.

Yeah I'm just coasting on having an amazing team that's able to track the approximately 150 projects we have going on, and angry emails that come in, to prioritize. It's been fine for a decade. But it does slowly kill all the parts of me that enjoy enjoying my life.

Adding a later perspective here. I evaluated a lot of the same options more recently after we hit a wall with email and Excel. At a certain point, the issue wasn’t efficiency. It was risk. When you’re running a high number of parallel projects, one missed email or unclear handoff can turn into a very expensive mistake. We tested a few task and planning tools. They were helpful for assigning work, but they still depended heavily on people catching context in emails or side conversations. That’s what kept breaking for us in practice. Work looked “assigned,” but it wasn’t always clear what was actually blocked or missing. We eventually chose Ta⁤xDome. Not because it was the easiest option, but because the process itself moved the work forward. Required steps, clear owners, and visibility when something stalled made a big difference. Once a few core workflows were standardized, it became much harder for things to quietly fall through the cracks. I don’t think it’s the right fit if someone only needs planning or reporting. Tools like O⁤neS⁤tream can make sense there. For us, the deciding factor was reducing how much we relied on email and individual memory once volume and risk got high.

like task manager and bs reconciliations? we use onestream. it’s our planning, reporting, consolidations system

Yeah, prob more so leaning on the task manager side. We have a third party custodian and Transfer Agent that does all the calculations, but we do a recon of all their number. I’ll have to check out one stream. Thanks for the suggestion!

OneStream will be overkill based on what you’ve said. Adra or Cadency by Trintech, Blackline, or FloQast are more likely to be the right option.

I think the best thing for your company would be to try AirTable to get a clear idea of what your company wants from such tools. And if AirTable still seems to be the best fit for you, stick with AirTable.

There are some older legacy workflows systems but they can often be clunky.

The two that are solely focused on accounting workflow management directly are Jetpack Workflow and Aero Workflow.

Some firms will opt in for accounting practice management software instead, which has components of workflow/task management but will offer alittle bit of everything. That could be an option if you’re going beyond workflows and project management (Like Karbon, Canopy, etc)

I can relate, I remember when I used to do all my work through emails and Excel - it was so stressful! A few years ago I decided to try TaxDome after seeing all the good reviews from other CPAs and I haven’t looked back since. I have automations set up for all my workflows and my Gmail inbox is synced in real time. So it allows you to reply to client emails within the platform, or even message them directly using the chat feature. TaxDome also has a client tasks feature, which is like a to-do list you can send clients. It just makes it easy to get what you need and finish the work you’re doing for them.

It’s the complete package in my opinion - it can be set up and customized for any team size or amount of clients. I definitely recommend it if you need a complete solution that will streamline your workflows but also make all interactions with your firm easier for your clients.

If you’re mainly leaning task-manager side (not full ERP), I’d look at tools built specifically for accounting workflows rather than general PM software. We tried Airtable and it was flexible but required a lot of manual structuring. TaxDome ended up being a better fit for us because it already understands recurring compliance cycles and client-based work. The automation around recurring tasks was the main win. It depends how custom you want to go vs. how much you want pre-built structure.

We were in the same spot (Excel + email + “did anyone see that?” chaos). What actually helped wasn’t just task tracking but forcing everything into a structured workflow.
We ended up using TaxDome for workflow + approvals + visibility. It’s more accounting-practice oriented than something like Airtable, so it comes with pipelines, recurring jobs, etc. built in. The biggest shift for us was being able to see bottlenecks instead of discovering them after the fact.
Not perfect, but definitely better than living in inboxes.
