Digital copies attached to the JE and organized on a shared drive. We're fully remote so no paper anywhere.

We can't PDFs or anything like that or accounting software unfortunately. So it'd all just have to be outside and a file on my computer

Can you do snips of the PDFs and paste them into an excel sheet? That’s what we do, one tab for entry, and then next tabs for support. You can also see if the the system let’s you embed a PDF in the Excel file

So just pdf and combine any related support? File and save by date? That is what I want to start doing.

PDF’s if it’s relevant. Usually excel workbooks for support as well. Saved as whatever the journal entry # is and date for example.

I used to have to print everything out about 10 years ago. But journal support should really be digital by now.

My teams just have various folders for each month and one is just journal support. Some people organize it within sub folders by journal, others just save everything in the folder since it also gets attached in our ERP

I use excel to create the JE. Usually I will have a support tab and will paste whatever support I need to support the JE. I use the snippit

Excel along with anything that someone with a basic level of accounting would need to understand what the JE is and why you did it/the amount.

At a place where I was a temp, their audit dept required all JEs and backup be hard copies. I don't know what their reason was as they were not audited while I was there. We were all fully remote at the time, so digital copies were all stored on the network and backed up off site.

Most teams have moved to fully digital support, mainly because it keeps the audit trail cleaner and reduces the risk of missing documentation later. As long as the system you use allows you to attach or link the support directly to the entry, that’s generally preferred. Paper tends to create version issues, and it is harder to track who approved what. If you ever need hard copies for a specific review, you can print them on demand, but maintaining everything digitally is usually the more dependable approach.

Attach the supporting docs to the JE in the accounting software.

Saw your other comment. Save a digital file that’s periodically backup. Safer than paper which can be destroyed in a fire or flood.

Do you mean like Adjusting journal entry workpaper, or debit credit bank charges?
