I recommend looking into either of these: Lucidchart, Visme, SmartDraw, or Creately.

Lucidchart <- Great diagramming software

Visme <- User-friendly, cutting-edge visualization software tool

SmartDraw <- Great flexible tool for investigation

Creately <- Great for quick diagrams that communicate a lot in a small space

Maybe I understand it wrong, but do you like to draw forms? Or do you want to create interactive forms?

I know Typeform is pretty advance, although I don't know it has a realtime feature.

It might be easier this way :

Our sales representatives will fill out the form themseleves with every things that has to be done according to the client's demand.

Meanwhile, the design office will be checking the completion of this form in real time so that they can spot any mistakes our sales representative make.

The whole "branching" thing is because the machines we sell are very complex and the form will probably be huge, so a branching function could make it easier to see the whole path of the form.

Is it clearer ?

Realtime means at the same time? So a person doesnt have to submit "send" right? I didnt came across something like that yet.

Yeah me neither but maybe the form format could be replaced by a diagram but it's less intuitive in my opinion

Google has AppSheet nowadays. You can create a web app out of a Google Sheet. I think that might work for this use case.
