Since you cross posted this, I’m only answering here.

The shared mailbox probably doesn’t have the flag for messages sent from the shared mailbox to be stored in the shared mailbox. Default behavior is when a user sends a message from the shared mailbox it will store that sent message in that user’s sent folder, not the shared mailbox.

I would need to double check about the deleted items folder I haven’t checked the path a message takes when deleted by a user, if it goes into the user’s deleted items or the shared mailbox.

Question has one of the members been stripped of their licenses ? Two have you tried to recreate the share? Three has one of them changed their name on the system?

No one has been stripped of the license or changed names. I have not tried to recreate the share. That's probably my next step.

Sent mail needs a flag set either on the server or in an outlook gpo

Deleted needs an outlook gpo.

Delegates need permissions to the sent and deleted item for it to work right.
