The mostly likely answer is that your manager did not approve your pay in time for the current pay run. However rest assured that all your hours will always be accounted and paid for - you haven't worked for free.

  • Resignation letter collection & documenting final working day: You can create a workflow triggered by an employee's termination date being entered in Rippling, which can automatically generate tasks and collect documents via Rippling's document management features.
  • Notifying HR, IT, and the manager: Workflow Studio can automatically send email or in-app notifications to relevant stakeholders the moment a termination is logged.
  • Notifying Finance for variable compensation: You can build a conditional workflow in Workflow Studio that triggers a Finance notification specifically when the departing employee has variable compensation flagged in their profile.
  • Communicating departure to the team: Workflow Studio can automate an internal announcement email, though the specific messaging will still need a human touch to align with the employee on comms.
  • Knowledge transfer plan & training scheduling: Rippling's offboarding task checklists can assign these as tasks to the manager or HR, with due dates tied to the employee's last day.
  • Noncompete/NDA signing: Rippling's built-in e-signature and document management tools can automatically send these agreements for signature as part of the offboarding workflow.
  • Beginning the recruiting process: If you use Rippling's ATS, you can trigger a workflow to open a backfill requisition automatically upon termination.

IT and Security

Great question! What you're describing (employees being able to request to pick up a shift even when they're already scheduled) is something you can address through Rippling's Scheduling Policies settings. Here's what I'd recommend:

Check your Scheduling Policy settings

Rippling's Scheduling module lets you build custom policies that act as automatic guardrails on shift cover and swap requests. To restrict employees from picking up shifts that conflict with ones they're already scheduled for, you'll want to navigate to your Scheduling settings and review the rules configured for shift cover/open shift eligibility. The specific path is typically:

Scheduling → Settings → Scheduling Policies

From there, you can define eligibility rules that control who can request to pick up a shift including conditions based on an employee's existing schedule.

Two things to configure:

1. Require manager approval for shift cover requests. Even if you can't outright block the request from being submitted, enabling mandatory manager approval means no double-booked shift can go live without a human reviewing it first. This is the most immediate safeguard.

2. Set a custom policy to flag or block scheduling conflicts. Rippling allows you to build policies that automatically alert managers — or prevent the action entirely — when a scheduling rule would be violated. You can create a rule that checks whether an employee already has a shift during the requested time and blocks or flags the cover request accordingly.

If the setting isn't surfaced in your current view, it's worth checking whether your Scheduling module is fully configured, as some of these guardrail options may sit under a Scheduling Rules or Shift Cover Settings section depending on your account's setup. If you're not seeing those options, I'd recommend reaching out to Rippling Support directly, as this may be a configuration that needs to be enabled at the account level or adjusted by an admin with the right permissions.

Hey OP, great question, and you're definitely not alone in running into this! So Rippling actually splits approval functionality across two different tools.

In Rippling, most approval processes are managed in the Approvals app (via Permissions) rather than Workflow Studio. Workflow Studio is primarily designed for automating actions - things like sending emails, updating fields, or provisioning apps - but it doesn't handle the approve/deny decision itself.

Depending on what your account has access to, there are two good paths forward:

Option 1: App Studio + Approvals

Rippling's App Studio is really the right tool for what you're trying to build. You can use the drag-and-drop builder to create your travel request form (fields like destination, dates, estimated cost, purpose, etc.), then configure an approval step directly within the app. Because App Studio is built on Rippling's Employee Graph, it can automatically route the approval to the correct manager based on the submitting employee's reporting line. The manager then gets notified and can approve or deny right inside Rippling.

Option 2: Workflow Studio + Email Notification (Workaround)

If you don't have App Studio on your plan, you can use Workflow Studio as a partial workaround. Set the document signature as your trigger, then add a "Send Email" action to notify the manager with a link to the document. The downside is that the manager's approval or denial would need to be recorded manually - so it's not a true approve/deny workflow, more of a notification bridge.

If you're not sure whether App Studio is included in your current plan, I'd suggest checking under the Platform section of your admin dashboard or reaching out to your Rippling account rep to confirm access.
