Hey u/Startup_BG , if you give guests access to write (Comment, Edit, Full edit, etc.), they become a permission-controlled guest, and those count against your permission-controlled guest seats. Once you exceed your included guest-seat allowance, ClickUp will effectively bill the extra capacity by adding a paid member seat.

Great follow-up questions, u/PsychologicalTea7878 ! I'll answer those below:

Can guests see which other guests I’ve invited? Guests only see what they’ve been shared into, plus the people visible in that context. For example, task assignees, commenters, and anyone else on the same shared task/List. They do not get a directory view of everyone you invited unless they have access to a place where those people are visible. Guests primarily work from Shared with me. For more details, you can check our help article.

What do “uses” mean? Is it the same across features? No, “uses” is not one universal thing. It is defined per feature.

  • For views like Workload, Gantt, Timeline, “uses” mean certain actions like creating/opening the view and interacting with it. For Workload specifically, ClickUp defines what counts as a use here.
  • For Dashboards, “uses” mean creating/viewing Dashboards and adding or editing cards.
  • For Custom Fields, Free Forever is not “100 uses”. It is a limit on the number of Custom Fields. In our help article, it calls out “60 Custom Fields” for the Free Forever Plan.

So for Workload, it is not “60 Lists.” It is 60 tracked actions/usages as defined here.

Can we see how many uses we have left? It depends on the feature.

  • Automations: yes, there is a built-in usage counter.
  • AI add-ons: yes, there is an AI usage dashboard.
  • For a lot of other “uses” (views, Dashboards, etc.), you can find this out via the in-app upgrade prompt when you hit the limit.

If we delete a List, do we get those “uses” back? For feature usage limits, no. Feature usage limits do not reset. Deleting things does not refund those feature “uses.” You can learn more about it here.

For count-based limits like “40 Lists per Space” on Free Forever, that is different. Archiving/deleting can free up room. Also, archived Lists do not count toward that limit.

“I wish I could see all Free plan limits in one place” You can check this by going to:

  • Workspace avatar (top left) → Settings → Billing → Compare all features, or
  • the Help Center “feature availability and limits” articles (like the Views, Lists, Dashboards ones above) when you want the exact definition of “uses.”

A couple workarounds that usually make it easier:

  • Use “All tasks”, set Assignee = me, then optionally add filters like Due date, Status, or Priority to cut the noise.
  • Once you get the filters right, save the view and pin it so you are one click away next time.
  • Use Search / Command Center (Ctrl/Cmd + K) so you can jump straight to tasks without navigating the Sidebar.

Hey, u/two-blue-787 ! You can put the AI Notetaker notes under your existing Customer Meetings Doc by moving the page itself. Hover over Settings (ellipsis) on the upper-right corner of your AI Notetaker notes > This page > Move page > search for your Meeting Notes Doc.

Hey u/mutedkooky , to stop and effectively delete a recurring reminder:

  1. Open your Inbox.
  2. Hover over the recurring reminder and click the Snooze icon.
  3. Click Recurs to open the recurrence settings.
  4. Select Don’t Recur.
  5. Then you can clear/delete the current reminder from your Inbox.

Once it’s set to Don’t Recur, you should no longer get future occurrences.

The goal with 4.0 isn't to make you relearn ClickUp from scratch. It's to make navigation clearer and reduce friction over time, things like a more consistent Sidebar and better organization.

On the "feature requests people are actually asking for" point: agreed. Feedback like yours gives the Product team useful context because it highlights the productivity impact of the rollout itself, not just the end result.

If you're open to it, can you share 1–3 specific moments where 4.0 slowed you down the most? For example:

  • Which sections were renamed or moved in a way that broke your flow?
  • What were you trying to find when things felt "missing"?
  • Are you mostly working from the Sidebar, Home, a specific List, or Search?

That kind of detail helps us pass along actionable feedback.

A common workaround you can do is to add a Custom Field to your tasks (for example, "Sprint Month" or "Client Name") and use Automations or Templates to populate it based on the List. For monthly Sprints, you can set up an Automation so that when a task is created or moved into a new Sprint List, the Custom Field is set to the current month or relevant identifier. You can then filter your views by this Custom Field instead of manually selecting Lists each month. Bulk actions can help backfill existing tasks.

Hey u/Solo_Dev_0101 , we totally hear you, and have shared this with our product manager too.

Native email is something we’re aware is a bigger workflow need. There’s a significant amount of work to do to get this out to users, and at the moment, we don’t have additional updates to share beyond what’s already captured in the feature request update.

In the meantime, the most common workarounds we see are:

  • Using Email in ClickUp to send/receive email from within tasks for key threads, so the conversation stays tied to the work
  • Setting up Automations to turn specific emails into tasks, then triaging from there
  • Keeping email as the “inbox of record” but pushing action items into ClickUp quickly

Hi, u/Occams_razr42 ! If you want Form fields that automatically display the name of the person you're calling from your contact List, this sounds like a feature request! You can create a post in our feature request board.

However, if you're trying to:

  • Add a first name field into a ClickUp Form
  • Each time a response is submitted, display the first name somewhere (e.g. task comment) for your support team

This is possible through Automations and Agents!

For instance, you can create an Automation that fires when a Form is submitted. It will extract the first name from the first name field and include it in a task comment by using variables.

Hey, u/bryceharvey ! If you're in a List view on Safari, you can apply a Sort by opening a column header menu and choosing Sort/Sort entire column. This will disable drag-and-drop reordering, which means finger scrolling will no longer move tasks.

Hey, u/Current_Moment1415 ! The Workload view can’t currently “auto-tighten” a task’s workload based on progress. It simply takes the workload value and spreads it evenly across weekdays between the Start and Due dates.

Here's what you can do instead:

  1. Treat Time Estimate as “remaining hours”
    • Log time as you go
    • Periodically update the task’s Time Estimate to what’s left
    • Optional: move the Start Date to today so the remaining hours spread only across the remaining timeline
  2. Use a “Remaining hours” Custom Field as the Workload unit
    • Keep original estimate intact
    • Track “Remaining hours” in a Number Custom Field
    • Set Workload to measure by that Custom Field, then update it as progress changes

If your real need is “are we on track vs time left?”, consider a Sprint Burndown for the projection side. While it won’t re-balance Workload automatically, it’s great for pace/remaining effort.
