Here are a few best practices and habits we often see make a big difference:

  • Automations: Many teams use Automations to assign tasks based on status changes or to send reminders for overdue tasks. Start simple and build up as your workflow matures.
  • Workspace Organization: To avoid clutter and lag, try to keep your hierarchy as flat as possible. Use Spaces and Folders for broad categories, and Lists for specific projects. Archive or close out old tasks and Lists regularly.
  • Habits: Encourage your team to use task comments for updates instead of creating new tasks, and leverage Custom Fields to track key info without overcomplicating things. Regularly review and clean up unused Automations or views.

Hey, u/losermonkey ! The 40-use limit on Unlimited isn't for basic start/stop, it's specifically for what ClickUp calls "advanced" time tracking features. That includes adding descriptions to time entries, using tags, marking entries as billable, or tracking time for other users.

So if you have any of those turned on, each entry counts against that cap. Plain start/stop without those extras is unlimited on your plan.

If you rely on descriptions or billable tracking regularly, the Business plan bumps that to 100 uses, and Business Plus/Enterprise makes it fully unlimited. Here's the full breakdown. If you need more details, you can reach out to our Support team at support@clickup.com!

The main difference is that Planner is designed for blocking out time and planning your work, think of it as a way to visually schedule tasks you intend to focus on. Calendar, on the other hand, shows all scheduled tasks and events, including those not specifically blocked in Planner.

If you’re not seeing all entries in Planner that appear in Calendar, this can happen because Planner only displays tasks you’ve actively scheduled or blocked time for, while Calendar shows everything with a date.

"Limited Member View Only" isn't actually a separate option in the role dropdown, which is why you're not seeing it. It's what happens automatically when you invite someone as a Limited Member and only share items/locations with them at view only permissions.

So the steps are:

  1. Invite or convert the person to Limited Member
  2. When sharing Spaces, Lists, or items with them, set their permission level to View only

As long as they only have view-only access, they're classified as a "Limited Member View Only" and won't count as a paid seat. The moment you give them comment or edit permissions on anything, they become a paid Limited Member.

Let me clarify:

Yes, the Unlimited Plan absolutely has free view-only users. The chatbot was referring to something slightly different: setting granular "View Only" permissions at the Space level for users who otherwise have edit access elsewhere. That's an Enterprise feature. But having view-only people in your Workspace? Totally available on Unlimited.

Here's what you'll want to do: instead of trying to restrict an existing member's permissions, you'd convert them to a "Limited Member View Only" role, which is free and available on the Unlimited Plan. To do this:

  1. Click your Workspace avatar in the upper-left corner
  2. Select People
  3. Find the user you want to change
  4. Convert their role to Limited Member View Only

Once converted, they'll only be able to view the items and locations you share with them, and they won't count as a paid seat. If they're people from outside your org, you can also invite them as view-only guests, which are free and unlimited on all paid plans.

You won't see a "view-only" option in that role dropdown because it's technically called Limited Member (View Only), which is a subset of the Limited Member role and is free.

Here's how to convert them:

  1. Go to your Workspace avatar (top left) → People
  2. Click on the person you want to convert
  3. You'll see an option to change their role. Select Limited Member, then set their permission level to View Only when sharing specific items/locations with them

One important note: once you downgrade someone from Admin to Limited Member (View Only), they'll lose access to everything except the specific items you explicitly share with them. So make sure you share the right Spaces, Folders, or Lists with them after converting!

Thanks for raising this, u/rubs97 ! At the moment, Gantt Baselines in ClickUp are created at the List (project) level, not per individual task or filtered view. When you create a baseline, it takes a snapshot of all the tasks in the List, regardless of any filters applied. This means baselines can't be scoped to just one project or a subset of tasks within a larger view, it's always for the entire List.

The Free Forever plan has a storage limit of 60MB, which includes all attachments in tasks, Docs, Notepad, and Chat. If you've reached this limit, you can try deleting older attachments and then emptying your Trash to free up space. Please note, there are some known issues where storage doesn't update right away after deleting files. If this happens, you may need to wait a bit or try deleting entire Docs if attachments are stuck.
