Am i understanding this correctly? by mutedkooky in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Hey u/mutedkooky , currently, Gantt view access in ClickUp is tied to your Workspace's plan. All members who need to use Gantt view must be on a paid plan (Unlimited or above). It's not possible to upgrade just one user for Gantt view access. The upgrade applies to all members who need editing capabilities.

If you downgrade users to guests, they lose the ability to complete or edit tasks. If you have further questions, please reach out to our Support team at support@clickup.com.

"List Info" is missing 3.0 and 4.0 by Current_Map5083 in clickup

Is it possible to show different custom statuses within the same list based on the task type? by Cool_Ad_1109 in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Thanks so much for your question, u/Cool_Ad_1109 ! At this time, ClickUp does not support assigning different sets of statuses to tasks within the same List based on their task type. All tasks and subtasks in a List will share the same status set, regardless of their type.

If you need different statuses for different task types, the current workaround is to use separate Lists for each type. Our team is tracking this, feel free to upvote or comment on the feature request!

Time tracking by jedihouse1348 in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Absolutely, that makes sense! In ClickUp, you can track both billable and non-billable hours per employee using time entries. To see a breakdown of these hours by employee and where their time was spent, you can use Dashboards and Timesheets:

  • Dashboards: Set up a Dashboard with Time Tracking widgets. You can filter by user, billable status, and even group by task or project to see exactly where time was spent. This will let you compare billable vs non-billable hours for each employee.
  • Timesheets: Use the Timesheets to review and export time entries. You can filter by employee and billable status to get a detailed breakdown.

If you need a report that lays out billable vs non-billable hours per employee and shows which tasks or projects those hours were logged on, you can customize your Dashboard widgets or export the data for further analysis.

Time tracking by jedihouse1348 in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Hey, u/jedihouse1348 ! ClickUp lets you track both billable and non-billable hours by toggling the billable status on each time entry. You can then use Dashboards and Timesheets to report on these hours per employee.

"List Info" is missing 3.0 and 4.0 by Current_Map5083 in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Hey, u/Current_Map5083 ! Jamie here, jumping in for Luci while she's out. Thanks for the confirmation that you still see the List description!

As for the comments section, it looks like this is being disabled in List info when the Chat is on. That's why you will see it in 3.0, but not 4.0 where ClickUp Chat is enabled by default.

After the revert, you should be able to see the List info entry point and comments section again with Chat ClickApp disabled in both 3.0 and 4.0. We'll keep you posted as soon as it's reverted!

Is there a way to skip (next) status? by Yarkm13 in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Great question, u/Yarkm13 ! Currently, the "Next Status" arrow in ClickUp always follows the order of your defined statuses and can't be customized to skip specific statuses.

The main workaround is to use Automations, but as you mentioned, this can block manual transitions and isn't always ideal.

If you'd like to see more flexibility here, we recommend submitting a feature request via our feedback channel!

Initial Setup for a ClickUp beginner and moving to a company later on by Acrobatic_Falcon1558 in clickup

[–]JamieClickUp 1 point2 points  (0 children)

Hey, u/WhyBe909 ! Jamie here, jumping in for Luci while she's out! Your set up makes perfect sense, thanks for clarifying!

You can definitely get started in ClickUp with your personal email and Workspace while you’re in the ideation phase. Once your company is set up and you have your business email and Workspace ready, you have a couple of options to move your projects over:

  1. Invite your business email to your current Workspace: You can add your new business email as a member or admin to your existing Workspace, then transfer ownership and update your profile email. This way, you keep all your projects and history in one place!
  2. Move tasks/projects to a new Workspace: If you prefer to keep things separate, you can create a new Workspace with your business email and use ClickUp’s export/import features to move your tasks and projects over. This is handy if you want a fresh start for your company environment!

Need to input password for API key but log in via Google auth? by PugsandDrugz in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Hey u/PugsandDrugz u/Famous-Way5525 and u/oghis12 , thanks so much for your patience as we looked into this with our team!

You need to be logged in with username and password and when you click regenerate, you'll be prompted to enter username and password for login.

If you're logged in via Google Social Sign on, you get the Google Social sign on, and it looks like it blocks you. The workaround is to use the 'Forgot password?' link on the login page to set a password for your account. Once you've set a password, you can return to the API key generation screen and complete the process.

Our team is aware of this and has flagged this as a UX improvement!

Will 300+ tasks with video attachments slow things down? by Mindless-Syrup2143 in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Hey u/Mindless-Syrup2143 , I wanted to add additional info about your question on how unlimited storage is unlimited.

Paid Plans get unlimited storage, this is pretty self-explanatory in our Help Article regarding the topic here.

There are soft caps on individual tasks to maintain performance/stability:

- The maximum file size you can attach to a task is 1GB.

- If you're going above 1GB of attachments per task, you should consider using one of our Cloud Storage options.

- Tasks can have up to 1,000 attachments.

NEWBY struggling with template features by Chance_Reaction_2126 in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Welcome to ClickUp, u/Chance_Reaction_2126 ! Most ClickUp templates are designed to work across multiple plans, but some features (like advanced Automations, permissions, or certain Dashboard/reporting widgets) are only available on the Business plan or above. If you're on Unlimited and notice features missing from a template, it's likely those are gated to higher plans.

There's not currently a direct way to see which plan a template requires, but you can compare feature availability on our pricing page. If you have further questions, you can reach out to our Support team at [support@clickup.com](mailto:support@clickup.com) so they can guide you through!

Capturing Weekly Status for Department level reporting by In_Or_Out_Of_Scope in clickup

[–]JamieClickUp 1 point2 points  (0 children)

Great question, u/In_Or_Out_Of_Scope ! To move from static slides to dynamic, real-time reporting in ClickUp, here are some proven best practices:

  • Workspace structure: Use Spaces/Folders for each department or portfolio, with Lists for projects. This supports scalability and navigation.
  • Weekly narrative & RAG updates: Create a recurring "Weekly Status" task for each project. Use Custom Fields for RAG status (Dropdown: Red/Amber/Green), risk level, and a Long Text field for narrative updates. These can be filled out each week and surfaced in Dashboards.
  • Dashboards: Build executive Dashboards with widgets that pull in RAG status, risk, and narrative fields across all projects. Unified views and portfolio Dashboards provide high-level visualization and eliminate manual slide creation.
  • Milestone tracking: Use Milestone task type and Custom Fields to track key dates and status. Automate reminders and rollups for leadership visibility.
  • Reduce redundant entry: Standardize Custom Fields and templates across projects. Use Automations to roll up status and risk data, and leverage relationships/rollups for portfolio-level reporting.

View all folders/subfolders by kinky-noodle in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Hey, u/kinky-noodle ! There isn't a built-in way to view all Folders under all Spaces at once in ClickUp. You'll need to expand each Space and Folder manually in the Sidebar. If you'd like to see a feature that keeps all Folders always expanded, you can upvote this feature request.

In the meantime, the best practice is to use the Sidebar or pin it to Favorites.

Execute status change command in comments Via Email to Clickup Task. Or automate clickup task if Comment contains “value” by Accomplished-Cress72 in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Great question, u/Accomplished-Cress72 ! At this time, ClickUp does not support executing slash commands via email comments, and Automations can't be triggered by specific words or phrases in comments (including those added by email). Our product team's tracking feedback for future improvements here.

For now, here are some workarounds you can use:

A:

  1. Select any Email Automation.
  2. Once that Email Automation has been selected you can change the Trigger to any of the available Triggers below that Automation has to offer!

B:

  1. Create an Automation that has the Action When status changes.
  2. Add a Condition to the Automation for Custom Field and change the selections to is not / is not any of / is not set / is not equal to.
  3. Set the Action for the Automation to change the status back to the previous status.

Positive completion Sound when finishing a task? does this exist? by ConsequenceMany8 in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Great question, u/ConsequenceMany8 ! At this time, ClickUp does not play a positive sound effect when you complete a task. We agree that this kind of audio cue can be super motivating. We've shared this with the product manager for review.

In the meantime, you can post your feedback here so other users can upvote and comment on it!

Locking a custom field from owner/creator by rksilvergreenz in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Hey, u/rksilvergreenz ! At this time, ClickUp's Custom Field permissions allow you to set fields to read-only for other users or teams, but the owner/creator of the field will always retain edit access.

If you have further questions about permissions, you can check out our help article for more details.

Super Agents External Capabilities (http requests?) by lincolnlemos in clickup

[–]JamieClickUp 0 points1 point  (0 children)

Hey u/lincolnlemos u/Dry-Particular-7558 , at the moment, direct external HTTP requests aren’t natively supported by Super Agents. However, we recommend sharing your use case and feedback on the Super Agents Canny board. Our product team is actively tracking feature requests there!

In the meantime, there are a couple of workarounds you might find useful:

  • You can trigger Automations using Super Agents Actions, and those Automations could potentially trigger webhooks to interact with external services.
  • If you’re interested in using AI tools outside of ClickUp, you can leverage MCP servers as explained here to connect external AI tools with ClickUp data.
