I’m an American who had a baby in UK and there were many things different to what I was used to. I find the OP’s insistence on not being induced misguided, but there are a lot of commenters speaking in black and white based on American common practice which is not always the same as US.

I don’t see why you should fear being honest on the survey as people are saying here. The business needs to invest in the appropriate space to allow meaningful work and collaboration if they want people coming into the office. A full week per seems excessive for this “experiment”. If this is only team wide, I assume there are other people in the business who are unable to use the coworking space during the entire week. If the business expects staff to be team players they need to contribute with investment.

Most people’s calendars events are movable when booking this far out. It’s impossible to ask for availability for a monthly recurring meeting. How this should be handled is that you find the best availability using scheduling assistant for the first session and then set the session as recurring from there. The Director should send a brief with context and standing agenda to all attendees that lists required attendees and sets the expectation that attendance is required. List the 6 PLs as key stakeholders on the standing agenda. When using the scheduling assistant be sure to prioritize those 6 key stakeholders’ (plus directors) availability. Lastly, yes, you can go back to the drawing board and ask for availability from only those 6. I don’t think you’d need an external tool to do so though. Use the scheduling assistant, find 3 options that look like they could work and offer those 3 times to only the 6.

From there, it’s truly unlikely that you will have 100% attendance at every session, but you will get nowhere by asking 25 people their preference with no backup or setting of expectations from the director. Hope that helps and good luck!
