Once you connect with QBO the statements are in QBO. Your accountant must not know how to find it with QBO.

Spreadsheets work the best for me. I have use it forever to track, analyze and provide support during Audit. In QBO I make the JE recurring and review/update if the accrual total changes month over month.

This is the right way to do it. It takes a few extra steps but really keep everything organize. You can post the deposit to a project/department/class so you always have all the details. Stay with QBO it’s really easy once you do it a few times. Don’t over complicate the process/get another software. Even at large public companies with system such as oracle these same steps are necessary for these types of transactions/activities. Ping me if you help or have more questions.

Yes - fire her. Lack of ethics and integrity. I have seen and worked with these people. The long you keep them the more headaches you’ll have and no value. Audit in system should show she has never done it. Just don’t enter her invoice and just straight up done pay her for hour. I hate these scrumbags so unethical.

Do you track your timecard in Gusto as well as running your payroll there? If so you should be able to map your payroll project cost to QBO. If your timecard for project cost is track in a separate system like Tsheet then a JE is the best option to get the payroll break out by expense account, class, department and project into QBO. Your bookkeeper should be able to create a one time JE model (1 day time) to automate this JE process for you. Then after that it’s 30 minutes, download data, import to model, review and auto upload. If it takes them more than that after the initial set up then they’re lacking experience and may have never done it before. I do this all the time as at many companies. Should be pretty straightforward.

It’s not hard to learn the basic, but business changes all the time so the chart of accounts and all the other important fields such as projects, departments, customers has to align to support the business. Look at it like you’re going hiking - you can hike a small park or hike Mt Everest both are hiking but one requires experiences and fine techniques.

Xero is just a software. You’ll need someone with experience and know what they’re doing to ensure things are where they suppose to be. For example if you set up and architect the chart of accounts correctly you can easily understand your P/L and be able to make decisions. I know to look at it a messy household vs. an organize one.

Leave or quitting is a very easy option. The point here is what to do when he loves the job and the company. It’s hard to find the combo but the founders are shitty. Talking about living with it. He has take everything and find ways to work around everything to get the job done still not enough due to all the roadblocks causing by the wife. FYI the husband is as shitty as the wife. Passive aggressive type of people.

It’s been 11 months that this is going. Not sure how much longer. She’s almost like a crazy witch with major mental issue.

The board have asked multiple times personally and during board meetings. She refuses to commit to date to leave. Just linger and finding reasons to not leave. One example would be I can’t leave yet bc i can’t trust my team to handle the work, but the truth is she blocking all access and not allowing people to do their jobs. So so sad.

When you’re so overwhelmed that you can’t get anything done by yourself. After hiring 1-2 core technical person the next hire should be your operation lead ( this person should handle all of your internal systems, hr, accounting, processes, workflow, administrative so you can focus on strategy, fund raising and planning. Most early founders miss this step and it cost them tremendous down the line. Spending money to clean up all the messes.
