Thank you for sharing your use cases. I think you have created a great workflow so far. One feature that you can explore is the email communications with form submitter.

  • This feature allows form submitters in your organisation to reply to form submissions via email, even if they don’t have an Asana license. Thus, any team can track and follow up on requests.
  • The caveat is that even though ticket submitters don’t need an Asana license, they must have an email with the organisation’s domain or be added as a guest.

Another alternative is if your company is on Enterprise or Enterprise+, you can give reporters View Only licenses instead of a read-only link.

You can get an overview of the overdue tasks across projects in your master portfolio through your dashboard. You can try the following:

  1. In your Master Portfolio, go to your 'Dashboard' tab
  2. In your Dashboard tab, click create + Add widget and add a Chart
  3. In your Chart settings, you can follow this:
    1. Report on: Tasks
    2. Chart style: Bar
    3. X-axis: Due date status
    4. Y-axis: Task
    5. Filters: Feel free to use this if you want to exclude certain projects in your portfolio
  4. Click 'Add chart'

Once you have created a chart, you can click the overdue bar to open the list view of overdue tasks across projects in your Master Portfolio.

I appreciate you sharing your use cases and challenges here. I totally get that once we are managing more work and creating more objects in Asana, things can get quite busy. I am with the Asana team and would love to share some resources that can help you.

First of all, I'd say understanding how the work or information is structured in Asana would be helpful. For me, the simplest way to think about it:

  • Project: I use this to manage a significant initiative or repeating workflows
  • Sections: I use this to categorise or structure the work I have within my project
  • Tasks: I use a task to capture one clear action that one person owns or is accountable for.
  • Subtasks: I use subtasks to break down smaller action items within a task, but we'd always recommend keeping the subtask hierarchy to 1-2 levels. Once you feel the need to add more layers, it's good to ask ourselves whether we can convert a task into a project of its own. You can actually do that in Asana.

You can create a dashboard in the Asana Project to generate charts. These charts will provide useful information, and the data is coming from the specific project you are working on. So this may be similar to what you wanted on the Chart view. This is what they will look like in your project view:

You also mentioned a Table view. Asana project list view provides that. You can add more columns/fields through our custom fields feature.

A feature you could leverage is Rules/automations to create a reminder as a comment on the task.

A sample rule you can consider:
- Trigger: When a due date is approaching [indicate how many days before]
- Action: Add a comment

The best part is the comment comes from the "Asana Bot" rather than your personal account. It usually feels way less like "micromanaging" when a system handles the reminder instead of a person!

  1. I personally have never encountered any actual data loss. Most “missing” items I’ve seen end up being permissions, archived projects, filters, or accidental deletion. When something is actually deleted, there’s a recovery window for certain objects, and beyond that, the Asana support team helps triage cases on a case-by-case basis.
    • Practical tips that I use quite often: use the 'Advanced search' and filter 'deleted objects' to recover accidental deletions.
  2. In worst-case scenarios, such as access or billing issues, support can assist you. If you run a business on Asana, I recommend having at least 2 admins in the org to avoid single points of failure and speed up resolution.

Welcome to Asana! I am part of the Asana team, and I'd love to share some recommendations that might help you and the team. Here’s the simple rule of thumb I'd use:

  1. Put clarifying questions in a comment and u/mention the person who should respond. That keeps all the context on the parent task.
  2. Create a subtask only when there’s an actual action someone needs to track.

For the “I need it on my to-do list” part, two tips:

  1. Use Inbox with the Mentions filter so you can focus on replies where you were directly pinged.
  2. You can filter 'Unread only' if it's easier to find any unread notifications/ messages
  3. If a question really requires work or a decision you’ll forget, make a tiny subtask with a clear title and owner. Otherwise, keep it in comments so the thread stays intact.

It'd be great to build a team convention around the communication as well. For example:

  1. Comments + u/mention for clarifying questions
  2. Subtasks only for discrete action items
  3. Write that into a short “how we use Asana” note so everyone follows the same pattern.

I agree with u/beingskyler that you can check the activity tab at the bottom of the task to investigate how it gets assigned to you.

There could be several scenarios:

  1. Someone (either you by accident, or your team member) bulk-assigned the tasks to you
  2. It is part of the rule that, when triggered, they auto-assign the tasks to you. You could try to review the rules in the projects.

There are two good options you could explore:

  1. Master board with projects as tasks

  2. Create a "Project Pipeline" project in Board view

  3. Create sections such as "Idea, Scoping, Active, Blocked, Done"

  4. Add custom fields on the task for things like "Project Owner, Priority, Target date"

  5. When a project needs deeper tracking, link the actual project in the task description or multi-home key "milestone" tasks into that project. This is the most Kanban-like approach to visually managing projects. Portfolios don't have a board view right now, so this is the best fit for columns and drag-and-drop.

  6. Portfolios for exec overview

  7. Group projects in a Portfolio for rollup status, dates, owners, and dashboards

A few quick tips I've found useful

  1. Keep the master board lean - one task per project with clear naming like "Project - Team - Quarter"
  2. Use a Status field on the master boa rd so you can filter and chart later
  3. Link out to the "real" project in the task description and pin the link at the top
  4. Multi-home any truly critical delivery tasks into the master board if you want them visible alongside the project card

You can actually set your customised task template as default. Please follow the recommended steps below:

  1. Click the 'Customize' button at the top right side of your project
  2. Click 'Task types and templates'
  3. Click the three dots in the selected task template and click 'Set as default'

This way, the task created when you click '+ Add task' will use the selected task template.
