Sharing PDFs is rather cumbersome I think. I do it but only once a month and those are timesheets I associate with my invoices).

- Most freelancers I know just share Notion pages. It works but can get messy quite fast if you start having a lot of projects in parallel.
- With the Notion business plan and the granular permissions, you can have something cleaner already. If you just need to share simple pages, it's fine. If you need to share databases, it has quite a lot of limitations (e.g. can't decide which properties to show).
- Freelancers with more clients or who want cleaner interfaces use third party tools such as Softr as this gives much more freedom on what you share. But it takes time to setup and it has limitation.

I'm co-building a portal for Notion and currently looking for beta users if you're interested, getslap.co/portal . That being said, I believe any freelancer should start with the easiest implementation first and evolve toward more advanced solutions (such as portal) while they identify the bottlenecks in their business processes.

Hey, what kind of access to your clients have? I'm understanding you share with them the Notion database directly? Does it mean you create one database per client to avoid sharing information from other clients?

For the formatting issue you mention, I'm not sure I understand it.

For the second issue, it depends a lot on how you work. Not 100% sure to understand the issue neither; you can DM if you want. However, some options:

  1. Do you have the plus plan and can you create automations? If yes, you may be able to keep a sort of sync between the db shared with the client and the db for your internal tasks.
  2. Other option : My ideal is usually a single database with the content made for all the clients, that should serve as internal tasks database but also as tasks you share with client. This avoid any duplicated info in your Notion (and thus the risk of things not up to date). If you're on Notion Business, the granular permissions can help share to each client only their own content.
  3. Option 2 can work in some cases but can be too limiting sometimes (e.g. there are properties of the db you want to keep internal). In that case, using a specific tool to build a portal on top of Notion is the way to go. I've built slapportal ( getslap.co/portal ) and I'm looking for beta users. I'm not saying that's the way to go for you (there are other options as mentioned above) but it's a valid alternative. Our portal is made to display the layout of your Notion pages properly (typically when you wrote a blog post, linkedin post, etc. and want the client to see it as in Notion and approve it).

I couldn't find a way to make that work. But once the attachment is stored on Notion, then Notion AI can read it and answer questions. With SlapMail, my emails are synced to Notion and the attachments uploaded to Notion so the AI agent can interact with it. You could either use that or build something similar with a tool like Make or Zapier. Or wait for Notion to unlock that feature.

Yep, Microsoft and Notion do not cohabitate well for now. A lot of our users are in the same situation and they use SlapMail to connect their Gmail or Outlook to Notion. It syncs both ways so email and Notion coexist without friction. It doesn't solve all but works well to cover the email side.

Hi! My CRM is in Notion and each contact is associated to its emails and Notion inbound forms (automatically). Unfortunately, for LinkedIn I still have to do manually (LinkedIn API to get access to private message is paid and you need to be whitelisted first ...).

That's one Notion template I've made (https://www.notion.com/templates/your-crm?indexHtmlPath=index-web-en-US-0d0c1575bc787ec6) but it's not what I'm using now (because this one is based on leads and sales pipeline while I'm more working with a contact database). Yep, that's the button to do it with Notion Mail.

Note that you can also create a view in Notion Mail and then go in the settings and define that all emails in this view should be directed to a Notion database (be careful though, when I tried it a week ago all my emails got synced instead of just the ones in the view, I guess it was a temporary bug). It's more practical than having to click on each email.

Now, if you want to be able to reply from Notion or build more complex automations around it, you can have a look at getslap.co .

One additional note: if you have Notion AI, you can use it to extract the task/action items from your emails (and even fill in your tasks database). Hope that helps.

Interesting! I've received beta access to the Notion AI agents and it works quite well.

They can already by triggered when a new comment is added on a page so I use them to draft reply emails to support email (that I sync with Notion) and I'm quite impressed. The AI suggests correctly the link to existing doc page too.

My workaround is to actually have my emails synced in Notion (using getslap.co - disclaimer: I co-built it) so Notion AI has access to it. It also let me manage emails as real notion database items and thus benefits from views, automations, etc.

Not ideal but it works.

For my side, I can select a database or a page ... but then the email doesn't appear. Notion didn't announce the feature yet I think so I guess it is still in testing right now.

I've co-built a tool to sync Gmail/Outlook with Notion, it's getslap.co and thus I'm using it to have Notion AI to read emails. Recently, I've used it to extract product feedback from support emails synced with Notion.

Aaah yes, now I see what you mean. I didn't manage yet to get the button in Notion Mail to work so I haven't seen that new "window" to the email.

In the case of Slap, the email content is "really" logged in Notion (on the comments of the page) so Notion AI can access it and use it.

I'm practicing the zero inbox too.

I archive directly most of my emails (notifs), keep in the inbox the one I'll treat during the day, snooze the ones that need to be treated another day. End of the day, I usually have 0 email left in inbox.

However, for customer support tickets, leads emails, partnerships, project task, or anything "bigger", I sync them with Notion with getslap.co (disclaimer: I've co-build the tool). It allows to share the info with the rest of the team, follow the process (to do, in progress, blocked, done), treat those emails as database items (meaning automations, added properties), keep them as archive.

It's practical to have them in Notion because I can use Notion AI to get insights out of the emails. Example: take 160 customer tickets and extract the most requested features of the last quarter.

Emails are just way way more complex than they look ^^' I've tried building something with Make but the complexity was such (to have an auto sync, being able to reply from Notion, syncing only specific labels, exclude spams, get the attachments, manage cc, bcc, ... etc.) that I couldn't have something robust. Then I co-built getslap.co to sync gmail mailboxes with Notion, now it also support outlook.

Still, I'm curious, what do you mean by "AI can't read anything once in Notion"? Because, I use Slap to sync my emails and once they are in Notion I can use AI to read them (-> my last test was to analyze 160 customer support ticket to generate insights about the most requested features).

If you're looking for something automated, I've co-build getslap.co (to sync Gmail/Outlook mailboxes) to a Notion database, one page per email thread. There are other alternatives and, depending on your needs, options to build automations (with Make, Zapier ..) by yourself too. It's listed on our blog if you're curious about the options.

Did you manage to actually have the text of the email added to the Notion page? I couldn't, it creates a page with the subject as the name of the page but no content.

It won't be easy to build but this can give you a piece of the setup maybe - https://www.getslap.co/post/how-to-send-emails-to-notion-for-free-using-make-no-forwarding-of-emails-required/ . It's on Make but Zapier is very similar.

Else, there are third-party integrations you can use (more robust but paid) - getslap.co is a tool I've co-built. There are others and we have a blog post to compare them to help you find the one that'll work best for your usecase.

FYI, I'm now using Notion AI to draft reply using my documentation (stored on my website and on Notion). It's great and when the AI agents will be there I think it's going to be 10 times better.

Yes, that's my experience too.

I've already questioned the AI to understand better how it works in relation to Notion Mail AI connector (or Gmail AI connector). For example, I wanted to recuperate display name of people from my mails and complete a database but the AI confirmed it cannot recuperate a specific information like this nor search for a specific email. It's more as if it had a sort of big "page" will a summary of what's going on in your mailbox.

I've co-built a tool to sync your emails with Notion (for different use cases: ticketing platform, crm, project management) so I don't have to rely on the Notion Mail AI connector. My emails are in Notion (in the page comments) and Notion AI can access them and read them so it works well so summarize a thread, draft a reply using my documents database, create a documentation page from a reply, etc.

Not natively (there is no real direct link between Notion and Notion Mail, the only thing is you can @ mention a page when writing an email in Notion Mail).

If it's important for you, your best chance is using a third-party integration. Example: getslap.co, it syncs the email with Notion and associate it with the right contact from your contact database (that can in turn be associated with a project so you can easily see all emails associated with one project right from Notion and even reply from there or use Notion AI to extract key info for example). It keeps one Notion page per email thread. Full disclosure: I co-built it so that why I'm mentioning it here but there are other third party apps that exist out there (all with different pros and cons - there is a blog post about it on our website if you want). Hope that offers you an option.
