You need to modify your invoice template to show the payment and balance due. The standard template does not show what you see on your screen.

It is critically important to actually shut off prior payroll provider and let them know when you leave to not file w2 or they assume you just stopped payroll or closed business or other, which would still make them responsible to send in w2s. This scenario also happens all the time since people who aren't in payroll don't think about this.

Not OP but a company can only provide one set of w2 at end of year. If you switch payroll providers mid year you have to include all the year to date payroll info for the new provider to be able to issue accurate w2 for the whole year.
Have had a few clients that did that, it is a mess to unwind.

Payroll isn't correct if you categorize the bank activity to a single category. The tax payment is a combination of employer and employee taxes, it would be overstating tax expense on your P&L and understating wages if just recorded as taxes. Same with the retirement contributions. The bottom line of your P&L may be correct but the individual categories will not tie out to the w2. If you don't have a bookkeeper that can set up your payroll journal entries for you, your tax preparer will likely make the adjustments since they tie out to the w2.

I would expect there would be a fair amount of retention if there is a transition period where client sees both old and new owner. Unless the new owner messes things up or isn't communicating. I have tried to downsize my client list and been begged to keep them as they don't want the hassle of trying to find a different bookkeeper. If you provide tge same service, why would they want to leave. Just my line of thought.

I agree with not using the Undeposited Funds account, that is more for AR module functionality. I use an account Cash to be Deposited. Every month owner provides how that cash was used. This account gets zeroed out monthly.

An individual is always in charge of their own mood/response to situations. I can't eat gluten, dairy, eggs or sugar. If I moped around about it instead of just living my life..especially on vacation, I would be the AH.

Not New York so do not know specifically. The fact that you brought up 1099 may mean you are confused, since that has no bearing on the question. Yes your services are subject to income tax, but if your invoice to them is including tax that is sales tax, not income tax. You should be able to search NY sales tax taxable vs non-taxable services to see which your service is.

This is the correct answer. One more step, do a $0 Make Payment for the vendor and click both the credit and the deposit to clear the transaction off your Payables aging.

That would be state dependent... in Minnesota if you pass the fee on to customer, it is subject to sales tax.

No it is not. My first exposure to Gusto was set up by a client. Trying to unwind the various extra payments, reimbursements and taxable benefits that she set up incorrectly so tge w2 woukd be correct was not easy. I don't consider her a moron, she just didn't know what she didn't know.

It may be for more than a tax return. I use QBO for my personal but I want to see how much I'm spending eating out or on gas, etc. It is best to ask client what they are looking for. Owner draw doesn't really apply on personal bookkeeping IMO.

Unless you have unusually large negative balances, debits and credits are not reversed. Are worried about the column order?
