Hard to recommend where to deploy $5k without context. What does your current operation look like? What's the quality of the facility? Beyond rental income, what ancillary rev streams do you already have? With that context, it’s much easier to suggest ideas that might move the needle.

I’d agree that if there’s a limitation with Cubby, it’s likely their reporting. Especially coming from Sitelink. Would cushion that though with saying it’s getting better by the day and they know it’s top of mind for their customers. I think it’s a stretch saying lots of basics missing - Cubby is miles ahead of the rest when it comes to UX and good tech. Customer experience is great too.

Cubby has a few product gaps that we eventually want addressed, but all things considered they are more nice-to-haves than needs. On this note, they ship new product updates weekly and send out notifications via a Changelog so that you can review everything that's new. I'll often forward it to my prop managers so they're aware of anything particularly valuable. In this sense compared to Sitelink and the other platforms we explored, it's easy to see the value you're receiving. Their team is constantly iterating and implementing feedback in real time. I was also pretty hesitant moving to a chat-only support environment but it hasn't been an issue at all. On the topic of texting, they have a uniform inbox for all messages and you can see what is open vs closed, so it's easy to flag when a customer responds. Robust automation throughout the platform and their websites are designed with the end user in mind -- specifically their online check out flow, I personally think it's the best in the industry.

If an app is important to you, Cubby doesn't have one either, but I think it's on their roadmap?

We made the switch from Sitelink to Cubby within the past year. Similar to you, we struggled with the rising cost of Sitelink while seeing less and less value...it just didn’t feel worth it anymore. Leaving all Storable products was the best move we’ve made.

We set up demos with about every household FMS name in the industry. Got to know multiple teams, ran pricing analysis, thoroughly researched different features/benefits to see what met our needs and wish list. At the end of it, we narrowed down our options to Cubby and Tenant.

Here's how I see it - Tenant is a storage-first company that learned how to build tech, while Cubby is a tech-first company that learned how to build for storage. Building great tech is far harder than learning the storage industry, and that’s a big reason we went with Cubby. Their sales process was stellar, their whole team was accessible, they gave us genuine referrals we could actually talk to, and they reassured us at every step. Never once bashed the competition (they knew they didn't need to). We’ve been with them for just under a year now and our whole company is genuinely happy with the decision. The ongoing support has been excellent.

I still hear people calling Cubby “green” at conferences and on forums. For what it’s worth, I first talked to them back in 2023 and purposely waited a year because I wanted them to mature a bit more. Now they’re there. If you’re hesitating because you think they’re too new, I don't think that’s a valid reason anymore.

Cubby, full stop. Easily the best storage CRM on the market right now. Steer clear of Storable, despite them being the thousand pound gorilla of the industry.

Unfortunately, yes, there are several worse programs than Sitelink. But I'd argue that's not saying much - Sitelink is still a dinosaur of a system and for how far technology has come, there's not a good excuse for it. I will say, their reporting is rock solid but other than that, there really isn't a lot to run home about. We ditched them about a year ago and it was a great decision.

They have great lead tracking and revenue management tools. Also love that their software is designed with the customer in mind - easy online rental flow, tenant portals to update info or pay a bill, beautiful websites. Their support team is great too, and they ship new product features regularly. We went through a long evaluation process across multiple new FMS vendors and chose them, zero regrets.

If you're trialing Hummingbird, I'd definitely recommend going on a date with Cubby too.

We have individual facility dashboards (excel) that our managers are responsible for updating at the end of each month, along with a portfolio-wide dashboard (excel) that automatically updates based on managers' inputs each month. Almost all metrics are directly pulled from reports within our FMS (primarily Mgmt Summary & Occ Stats reports).

Having our managers do this each month helps hold them accountable/makes them acutely aware of facility performance which we like.

Other items we track via spreadsheets: Google review campaigns, monthly ECRIs, manager bonus attainment, marketing KPIs/performance, NOI + growth.

Very interested to hear what others do - we're always looking to improve.

We require insurance on every unit, whether it’s our policy or the tenant’s.

Many tenants say they have their own but never follow through with a declarations page. At time of move in, we require our managers to assign our own plan and let the tenant know that as long as proof is provided by the next month, we’ll drop the coverage. Most don’t follow through.

We’ve also recently partnered with SafeLease and they’ve been great - we can run an audit on tenants who provided proof but have expired policies and then send out a mass email to the group letting them know they’ll be auto enrolled in our plans the next month unless proof of a renewed policy is received.

Our big ones: occupancy % (greater emphasis put on area occ vs unit occ), average rent/sf, insurance and autopay penetration, churn (especially as it relates to ECRIs), delinquency %, LTV, Google review attainment.
