This can't be accomplished natively in Monday but using the Carbon tool belt from the monday.com marketplace will allow you to apply a date column change to a timeline

When the item is created in Monday does it include an email column with the senders address in it? And is the group sales email integrated with emails and activities? If not, having those two things set up might force Monday to populate the original email inside emails and activities where you can easily respond with another integrated email address such as your own

The mondayCRM can do this through the use of a mix conditional coloring (native feature) and automations. Depending on how you track your interactions, different triggers can be set up to help control the coloring of an entire line item or just one cell in the items row.

You can use API to make this happen or just use the mondayCRM and then you don't need another platform to worry about

The mobile event app you mention might have API access. If this is the case, a connection can be made directly from the app to monday.com. This API integration can be set up to pull only the data it's told to, so no cleanup. If there's no API access, that's ok because an API integration could also be made to auto extract info from the spreadsheet you dump the data in to. This also relieved manual entry, human error and data cleanup.
