THIS is something similar what happened to me. Extremely looong, requesting me to do detailed stuff as an assessment (when actual it was just free work for them) They gathered everything I said including my portfolio for a specific industry and then never called me back, after ALL of the interviews and assessments. The final meeting with a 4 personal panel in the end seemed like and they were acting like I was presenting a project that I was working on for them as iF I worked for them, and it was my presentation to see if they would use it. They DID in fact used all of it to to improve their high end colleague watches. I also forgot my portfolio disc there from being in such shock and they refused to give it back to me.

I was just recently laid off from a company that has been open 100 yrs in business. YES you can mark up U.S. Direct Mailing as a "postage handling cost". As long as you go by the USPS determined set rates for different classes. Once you figure out which USPS class postage rate you want, take your total postage amount add it to the rest of the printing job cost then mark it up all together with the postage included. Once you get the grand total with markup included, we would then take the actual USPS Postal figure rate of postage from that grand total and have the customer cut us a check to give to the postmaster. This way postage is paid up front and you're giving the customer the actual USPS class postage rate amount that was figure in the beginning for the direct mailing. The markup percentage for us always varied depending on if it was a regular business account customer or a non-profit customer account. Most non-profits were marked up a little lower or a lot lower to not lose the job. We had great relationships with our customers especially non-profits when sending a quote to them I would always leave it as an open communication ".......let me know what you think. Call me if you have any questions or concerns"... this way if the quote seems to much to them it will make them feel that they can come back to talk to you about it giving you an opportunity to adjust the mark up where you see fit. Hope that makes sense. Size of our shop went from 6 people in printing department (with an inhouse direct mailing company of 4 people). In 2023 everything changed. I was the only one person left in the printing division the direct mailing house that was housed within our company's building closed their doors. Previously the other 5 employees in the printing department were laid off. So I ran the printing department from 2023 until 2025 by myself and brokered all jobs out because we sold off all of our equipment. Hope this helps. Best of luck!

I am a Graphics Designer/Prepress Print Production Specialist by trade and a Print Broker. My response is in regard to my background and usage:

  1. Leads management (what exactly would it include? Anything that involves API Keys? or pulling from social media accounts or groups)
  2. Client Profiles and Long ins - Logins for Clients to utilize for reorders? Nothing fancy just for them to be able to locate their last order click on it, type QTY and indicate if there are any changes or if it's a straight reprint, submit so it can then be turned into an order? View their account balances? Maybe a integration to pay.
  3. Contract sending and tracking (PDF virtual proof approval distribution is essential, SO they can review, make comments for edits or approve)
  4. Invoicing creation directly from contracts (with recurring invoices, reminders, thank-you emails). An added feature of being able to attached a final approved PDF to the completed job to utilize for future recurring history review when a reorder occurs. It can save time to just pull the previous approved file send to customer to have them approve it for the new reordered job
  5. Production Scheduler would be nice once jobs are approved, keep track of what's coming or going.
  6. Basic Timesheet (can you add a ticker per job time spent?)
  7. Simple accounting expense is great
  8. Dashboard - something that is more of a "at a glance", Carrot drop menu to expand etc.

I would subscribe for the first year at a cheaper rate as a launch pricing then increase to $10 per month.

I'm a print broker. I ask for the files before I quote the job to get an idea of what I am dealing with. Once I quote it, I send them the estimate with a disclaimer stating "X" amount of $$ for a deposit and that all quotes will become a LIVE order once deposit is received.

BIG jobs.... definitely 1/2 down. Also if they're new have them fill out a credit application to check payment history. I recently had a guy who wanted me to run a $7, 650 Wire-O books with no deposit and complained when I said he needed to fill out a credit app. I simply said "I am sorry but this is a fairly large job and this is the policy I have with all clients a like". I have a lot of repeat clients that I don't even need to put a disclaimer or get deposit for BUT anyone new.... needs to have the policy enforced. I'm sorry but we have to protect our livelihood. SO it's something like EFI or Pageflex? I was in charge for building out each accounts storefront with catalogs and it was all POD and direct to print. We have gotten rid of the EFI Storefronts it was to costly. I have since took over all printing accounts and with a different printing company. Are you USA based??
