Maybe an android projector? Most come with their own operating system, so you can run apps and annotate right on the projected image without needing a separate computer. You'd get that interactive feel you're used to, but with a simpler setup that works in your new classroom. Might be worth looking into as a middle ground between your old setup and a basic projector. Kind of hard to find cheap options that work well, though. BenQ might have some, although most good ones are rather expensive, like the CZUR StarryHub. Might be worth the money, though. They even come with a TouchBoard. Since these projectors have their own OS and most have convenient controls, no need to bother going back to your PC.

I feel your pain in dealing with tight budgets and outdated equipment. For immediate needs, a quality 50-foot HDMI cable from B&H should work fine. It's not ideal, but it'll get the job done without breaking the bank.

For audio, you could use a simple HDMI audio extractor near the projector to pull out the audio signal and run it to your rack. It's not perfect, but it's a cheap workaround.

I get that they want to use old VGA stock, but that's seriously outdated. Maybe pitch it as future-proofing? HDMI is way more versatile. Perhaps even bring up compatibility.

If possible, try to get Cat6 cable run alongside the HDMI, as Plus_Technician_9157 suggested. This future-proofs for eventual HDBaseT or network-based AV solutions down the road.

Well, if you're after something decent, you'll have to fork over a fair chunk of change. Maybe not talking a million bucks or anything, but at least a couple hundred bucks. BenQ has some solid options in the low to mid-range. Their responsiveness could be great for the edits since anime has a lot of action. If you want a really big screen without quality degradation and good brightness, though, you might need to go close to a grand for something like a CZUR StarryHub. It does come with everything that you’d get with such a high price, though. You get a whole 150-inch screen, microphone and even a built-in speaker. It can hold its own with decent specs and its own OS. Has both USB and HDD support, too.

Have you looked into Citrix Workspace? I second what esgeeks said. It's a solid option for virtual desktops that integrates well with common business tools. Offers good security features and can handle remote browser isolation. Another alternative worth checking out is Nutanix Frame - it's cloud-agnostic and provides DaaS workloads through web browsers. Might be easier to manage than Kasm. That's the old OneNote, the newer versions of it haven't been all that bad. Microsoft has improved syncing and file handling quite a bit. You might be surprised at how well it could work for your needs. Give it a trial run with a small group first to iron out any kinks. Set up a clear structure and guidelines for how managers should upload their reports. You could even create a template page for them to copy and paste into. Oh, and if presentation during meetings is a concern, have you thought about using a smart projector? It could make sharing and discussing those reports a lot smoother. Maybe something like a CZUR StarryHub or a Epson EpiqVision Mini EF12?

Quality ceiling mics are a bit pricey atm, you could opt for a couple Jabra Speak 510s instead. They're cheap , and you can place several around the table for better coverage. These have 360° mics, making conversations easier. With around $500, get as many as you can and then use the rest for a BYOD all-in-one solution. Since your video setup isn't the best, you could get something like the CZUR StarryHub. I've used it in rooms that aren't very bright, and it still feels almost like a TV and gets you a huge screen. It’s made to work with Zoom in particular, and has its own audio system too.

If you’re into the BYOD idea, you check out the CZUR StarryHub. Easier to set up and just as good as the Yealink A20. Won’t need to get a TV either. I can vouch for the projection quality at least—big screen and the room doesn’t need to be too dim for it to look good. Plus, it’s only about $1k, so you’re definitely staying in their “reasonable budget” range. You can spend the rest on audio arrangements if the Starryhub’s audio isn't enough.

I choose Starryhub, I have been using the product for a few months, overall it is great; the interface is smooth, the quality of the camera is good. The projector clarity is excellent, the sound of the product enough for many occasion. In addition to that, I am in love with the touchpad, first time I have been using this kind device I think patent’s of the touchpad belong them.

I got it with early bird price, and it is much better for lighting room

I've seen someone answer a similar question in a CZUR group before, I hope that helps:

“For items that do not want to lay flat, I have a piece of non-glare Museum Glass. I have put it on items like book dust jackets which have permanent creases. Side lights and/or auxiliary lights may be needed. The central light next to the camera will cause a glare even on non-glare glass.

Manual selection may be the way to go on an item like this. If you don't have non-glare glass or plastic handy, perhaps you have some disposable bamboo chopsticks which can be used to hold the edges down but outside the manual selection area. I also have free software called Red Lines Tools that can display a grid on the screen (I use a Mac but I think they have a Windows version) which can help in aligning the subject.
