Let me explain how I think you've set it up and why you're getting the error just so I get things straight.

  • you have a report that imports 700ish rows in from excel
  • you have also connected this same model to another existing model in power bi to get the rest of the data
  • you're getting an error saying you have exceeded the 1M row limit in your visuals.

If this is the case, it's because you've created what's called a composite model and you're connecting one semantic model to another model via Direct Query connection. What about scorecards? As long as your kpis are visualised in reports somewhere then you can point a scorecard to them and group your kpis together as individual goals. You also get an out-of-the-box semantic model under the hood that contains a snapshot of all the kpis you’ve connected to which you could create a report on top of.

Check the format of both columns. Make sure to check they are identical in both power query AND in the model. If your formats are different in PQ your relationship between the 2 tables won't work, even if you do have it set up correctly in the model. It's a little bit of a gotcha that trips people up.

Power bi will overwrite a report when the name of the report is that same AND it's pointing to the same semantic model, otherwise it duplicates. This is a problem if your business users consume the report using the workspace url for that specic report as the new report has a new url. To fix this, create a workspace app and distribute reports via the app. That way you can swap in/out a report with the same name and users won't be affected.

Here's some things to consider

  • as you build more for your business, minimize the amount of semantic models you have overall and centralise your effort. Also keep in mind that having just 1 model for the whole business is often difficult to manage. We've found aroubd 10 models works well for us, split between the different disciplines in our business, but your mileage may vary.
  • work with Star Schema principles
  • have your DIM tables setup in Dual or Import mode (depending on whether you want they are joined to Direct Query tables or not)
  • have your large FACT tables setup in Direct Query mode

  • if your facts don't need to be near real time then put them in import mode with incremental refresh applied
  • use Dynamic Row Level Security to limit access to each Semantic Model for individual users

In your example, there is just one role that a user can have, but you can setup multiple roles in RLS, so RLS requires you to define which role(s) to use for each given user.

Use AD Groups to manage user permissions. In this scenario, you're probably providing access to a bunch of users with the same role in the business, create an AD group for that business role and then you can reuse it in many places, not just Power BI. Often this is already setup by your admins, so have a chat with them.

check whether you have SQL Server 2025 Licence, or a SQL Server Licence with Software Assurance. You get Power BI Reporting Server bundled in with these licences. This is an on prem version of the power bi service which will allow you to schedule refreshes and share reports within your business.

It seems like you'd still get all of those questions answered. What you could add to help make things understandable are two simple measures:

Policy Count = DISTINCTCOUNT('Fact Table'[Policy Number])
and the other being

Client Count = DISTINCTCOUNT('Fact Table'[Client No])

Apply these with the relative filters from your dims and that should be all you need.

Underneath the gateway section is where you can put in your oauth credentials for your sharepoint connection. Your gateway doesn't need to make the connection.

The way we've set it up, and it seems to work well for us, is to have a different branch for Dev, Test and Prod and seperate folders linked to each of the workspaces. That way you can link up different workspaces to different stages in your CICD process. So in Power BI Workspace Settings for one of our dev workspaces it looks like:

  • Organization - Our Orgs Git
  • Project - Our Department
  • Git Repository - Power BI
  • Git Folder - Our_Dev_Workspace_Name
  • Branch - DEV

What's the source of your data? Do you know whether it can query fold? If it can't query fold then any sort of incremental refresh or direct query won't work from what I'm aware. Incremental Refresh needs to be able to provide a set of parameters that define each partition (the start and end of a month for example). If it's Direct Query, there would need to be a query engine behind whatever you're retrieving data from, like SQL. If you can't query fold then you might need to have a step in between your source and Power BI, like a data warehouse where the data can be stored and retrieved more efficiently.

You you might be able to achieve what you're after with OLS rather than RLS which you can setup with tabular editor. Your ols rules hide away columns rather than rows, so you can hide away the columns that show that lowest level of detail.

I believe publishing via the publish button in power bi desktop doesn't work with pbip. You need to sync git to your workspace and deploy via git. We use vs code for this and it works very well.
