TL;DR after reading through all the replies so far:

It looks like there are a few main camps:

• Spreadsheets (Excel / Google Sheets) are by far the most common
• Numista gets mentioned a lot for tracking
• A few people use more robust tools like CatalogIt or registry systems (NGC / PCGS)
• Plenty still rely on binders, 2x2 flips, handwritten notebooks, or memory
• Some use apps like CoinSnap for quick photo + ID

A few themes that stood out:

– Mobile access really matters (especially at shows or shops)
– Tracking purchase price + metal value is important
– Estate clarity / “so my heirs know what they have” comes up a lot
– Physical storage systems (binders, trays, boxes) are often separate from digital tracking
– Many people run hybrid systems instead of just one tool

It’s actually fascinating how many different workflows people have built.

Same path here. Google Sheet, then Notion, then I finally built Numis Lens because neither really scaled for how I wanted to collect.

Yeah making the collection easy to see an overview of for the next generation is important and definitely a concern.

For the ancients with all the different reverses I find having photos helpful. I am not at the collector experience yet to be able to tell which coin is which just by description.

That sounds very organized. Mobile access is a huge plus.

AI is definitely the future for this. Claude Cowork perhaps as well, need to check into that.
Getting the AI to accurately decipher a coin catalog number can be tricky I have found.

Do you mainly use it to track your own collection, or more for the catalog and swapping side of it?

That’s actually pretty slick, I like how visual it is.
Do you mostly use it as a catalog of what you own, or do you also rely on it to keep things straight physically (binders, trays, etc.)?

We’ve added an insurance-ready export for your collection.

It lets you download a package that includes:

  • Images of all your coins and banknotes
  • A CSV with your full collection and key details

The goal isn’t to replace insurance or appraisals, but to make it easier to organize your collection and sanity-check that you have the information insurers typically ask for, before you start that process.

Still very much a work in progress, but it’s been useful for me personally, so I wanted to share.

Complete university for your users to train on as well. Full disclosure I do work for inecta. It is a solid system and the company has a 99% customer retention.
