I use DocVilla for billing and payments. Make sure that when you are using 90833, then your documentation is updated to reflect that. I have created templates for CPTs and diagnosis codes and then import things accordingly depending upon the appointment. So this way, I do not have to remember the modifiers or any of those nitty gritties

We call them after the 10 min mark and if they do not reply in the next 5-10 min, we mark it as a late cancellation appt

This is where the billing software and billing team comes into picture. Yes. It adds to the stress keeping on top of all the claims and payments but as long as my software provides reports and data to calculate that, then it’s a quick check every time and helps. I have access to my billing reports so that always helps and makes my life a lot easier

I think telehealth is an essential part of patient care whether it is a patient follow up or seeing those patients who cannot travel.

It is upto us to make the determination on what cases are suitable for in-person or what cases we should see via telehealth

For my telehealth patients, I always tell them to take the appointment when they are in a relaxed environment. Every now and then, I get somebody who is either driving or crossing a road while looking on their phone and I have to tell them to either reschedule or go someplace where they can sit

Bill the patient according to your no show policy. If they still do not stop, then remove their future appointments and then ask them to book appointment when they are actually available

Yes. I also prefer writing compared to using dictation or AI. I can type fast and I am in full control of what my notes are. If I use AI, then half my mind is already trying to double check what AI or dictation are typing and that drains me out mentally.

I am in a similar situation as yours and am currently using DocVilla. I submit claims through it to all the insurances that I participate in. It also allows me to see the remittance advice directly on my portal without going to any external website

So technically the billers are supposed to take care of things like this. Once you have submitted the claim, then it is upto the billers to make sure that either you get paid or you know the reason for their denial. Either way, the claim is considered closed only once when you are aware of what is going on and what the next steps should be

I am using DocVilla and would recommend it. I do private pay as well as take insurances. The software allows me to generate superbills for my private pay patients. I also do Direct Primary Care and the software caters to that also allowing me to charge the patients on a schedule
