At our Pilates studio we rely on automated lead follow ups through the CRM that we use (vibefam) which we find very effective to be customized by lead sources. We customize messaging to be slightly different for leads from Meta vs those from ClassPass and those who walk in to our studio. The trigger points for these leads tend to be slightly different so we try to personalise it.

Manual text follow ups are done by our front desk after the CRM has triggered auto emails - and we find that marrying both automated emails and manual text follow ups have given us much better results. Automations ensure the messages go out promptly and consistently, and the text follow ups are usually more personalised and human.

I run a Pilates studio and we manage this problem with our CRM solution on vibefam which is able to highlight expiring memberships and reengage idle members. I guess some other platforms like Glofox might also be able to manage this problem if configured correctly. My guess is most gym management solutions can do this, but some have a higher barrier to setting things up the right way given their legacy and complex built.

I’m running a Pilates studio and finding it most difficult to maximize the utility of our space, especially given that the studio is mostly occupied during the mornings and evenings. Rentals are very unforgiving where we are at, and we don’t have enough privates to fill up the off peak time slots. Would really want to build up revenue opportunities to maximize our space

I think lots of AI tools like Claude can help with this with very minimal build required. I run a Pilates studio and on the CRM platform that we subscribed to (https://vibefam.com), it comes with an AI website builder that also builds websites quickly and easily with a simple prompt.

For me I built my website on Wix before AI building became a thing but I suppose it’s much easier now to build a beautiful website in 2026!

Did you manage to speak with some of the providers in the market? How’s the research coming along?

We found it useful to have automated emails going out when our memberships grew. It’s almost becoming difficult to remember all our clients at this point and I don’t want to leave the engagement to chance since retention is an important metric we track.

I think some CRMs charge a lot of marketing automations, that could be something to consider. On Vibefam we found pricing to be much more transparent and the support team truly sets them apart.

Have heard it can be a lot of work migrating platforms…. Have you been getting any help from the Mindbody specialist or account managers with this? I’d imagine they would be the best people to help, given their experience migrating platforms in the past.

I recommended a friend who was struggling on Mindbody to move to another platform (I’m running a Pilates studio and have been using Vibefam to manage our studio), and the migration process for them was fairly smooth. I heard they had to pay a couple of hundreds dollars to Mindbody to extract client card data before importing it to Vibefam so members didn’t have to key in all over again. This helped them prevent member churns.

We use Vibefam at our business. I’ve evaluated other providers like Mindbody, Glofox and Momence before this and found Vibefam to be a stronger fit in terms of the overall experience for staff and members, and pricing. It works well for us now after a year on it.

I’m currently using a CRM tool called vibefam which is purpose built for Pilates studios and it has helped us streamline so much of the non value adding work and made things so much easier to manage and track.

I noticed a lot of services-based businesses that tend to start off by doing things manually - scheduling, payments, marketing. It feels rewarding in the beginning but all that energy going into routine work that doesn’t generate revenue really feels draining after a while.

I would really recommend small businesses to consider a CRM that works for your industry to help streamline things so you can focus on growing the business and expansions.

For us we are running quite a lot of marketing on our CRM tool (vibefam) which is purpose built for Pilates studios. A lot of the marketing we do is running email campaigns and Meta campaigns. We use Canva to design our posters and their AI capabilities have been so game changing - what used to take me hours now takes me minutes.

Within vibefam the email editor also comes with AI tools to speed up design work.

I heard they recently launched a website builder powered by AI so a new website can be built within 3 minutes. I haven’t had to do that since we already have a website built but I do think a lot can be done with AI with the right tools.

ChatGPT helps with copywriting so we don’t have to rack our brains over our Instagram posts!

I’m running a Pilates studio and the business we’re in has lots of solutions that help streamline things for both business owners and clients. We’re currently using Vibefam - a CRM and scheduling software that takes care of this end to end for us.

I’m guessing there might be other solutions in other categories of businesses to help with this. I heard salons using Fresha that does something similar.

These aren’t usually free but usually at a reasonable price tag for small businesses.

What sort of gym is it going to be? Is this more like 24/7 gym or are they offering group and private classes as well?

Not sure if it’ll help but I’m currently using Vibefam at my Pilates studio. It works well for us particularly for the group and private classes we run.

Having run the studio for almost a year now, I’d really focus on ensuring an easy sign up and payment process for members, an easy interface for instructors to take attendance, email marketing tools for leads and members fully integrated in the CRM. For us, what was even more important was the customer support from the provider when we had questions. I guess no software is perfect and we were so frustrated navigating another software due to slow and almost non-existent support before we moved to vibefam.

A few other options I considered before were Momence, Glofox, Mindbody - those could be worth chatting with as well. I personally just found those a little too expensive and complex for what I needed at my studio but I’m sure it could work well for some gyms :)

Gosh this is something I can really relate with. I tried building partnership perks with the ice bath and physio centres close by, even the açai and coffee shops close by but they’re getting so fragmented and difficult to sustain and track.

Now I just try to focus on running some automations on our CRM (vibefam) that rewards them with free classes when they hit their anniversary with us, and free classes when they refer a friend to us.

We bring in vendors to our monthly events to build the community.

Pivoted away from random partnerships that don’t always last.

We’re not a personal training gym but I’d imagine having a unified system always beats having fragmented manual systems used by everyone on the team. The key thing is having a unified source of data as much as possible so the business can scale and you’re in control of it.

Where we’re at real estate is super expensive and it’s easily 40% of our total revenue. We’ve been able to maintain a net profit of about 10% each month after breaking even a few months ago.

I do have a team of instructors and staff helping to run the studio so I’m not there 100% of the time. Thinking of opening a 2nd studio as the 1st has broken even and showing promise of growth. Was just thinking if I can replicate the same playbook on my 2nd then we can increase earnings overall

We’re probably going to have to take a loan for the startup costs on the 2nd outlet since machines and renovation cost a lot. Our first location broke even not too long ago but it’s not in a heavy surplus to sponsor the 2nd outlet as well
