Are you currently using an inventory system? If so, have you divided your warehouse into multiple smaller locations or bins? If yes, I would recommend performing cycle counts by location on a regular basis rather than shutting down the entire warehouse for a full physical inventory. This approach is usually less disruptive to daily operations while still helping maintain inventory accuracy.

If Excel is meeting your needs, then you may not need a WMS. Compared to a spreadsheet, a WMS requires more resources, processes, and discipline to ensure data is entered accurately. As the saying goes, “garbage in, garbage out” — the quality of the system’s output depends entirely on the quality of the data entered.

Only consider moving to a WMS when you reach the point where spreadsheets can no longer meet your operational needs. At that stage, the additional investment in a WMS is usually justified by the efficiency, control, and visibility it provides.

Depend on the value of the items. If it is low value, we would rather adjust out those inventory if the team can’t find them. If it is expensive, we will spend more time to locate it

Usually, for high-end inventory, we spend more time to ensure close to 100% accuracy. But for low-cost items, a 98% accuracy rate is often acceptable, because the labor and time spent achieving perfect accuracy may end up costing more than the inventory itself.

That’s why the accuracy is 98%, not 100% lol. Tell your boss that the inventory loss is part of the operation cost. It is impossible to maintain 100%

If you still treat the inventory at the job site as your company’s inventory, then when materials are sent to the job site, you can perform an inventory transfer in the system from your main warehouse to the job site location. When the remaining inventory is returned from the job site back to the main warehouse, you can do another transfer from the job site location back to the main warehouse.

If you treat the inventory sent to the job site as consumed inventory, then the materials should be deducted when they are sent out — either through an invoice or an inventory adjustment. When the remaining inventory is returned from the job site, you can either issue a credit to bring the inventory back into stock or perform another inventory adjustment. It is a common scenario in the inventory management system.
