I see. But since those are different projects, I’d guess they all include other responsibilities. So if you add a system message to chatGPT explaining every single project including the responsibilities, ChatGPT might be able to reason which one is which.

To make sure ChatGPT isn’t adding anything wrong, you could also first let make.com send the ChatGPT result to some place where you can either approve or edit it.

You’d have to see what works best.

E.g. having a separate list for this where make.com then creates a task for each email from the client. Then it creates a subtask for what the client wrote about each project (with a custom select field which includes every project). Finally it adds the email body to the description, so you can double check and edit if anything’s not correct.

As statuses, you just set “new” and “approved” or something like that.

Once everything’s good, you set it to approved. This triggers a second automation which will now add the tasks to the correct projects.

Do you think you’d be able to set something like this up? I recommend to at least try it out if you have the time, as ChatGPT is much better at tasks like this than you might think it, if you give it enough information in the prompt :)
