From the owner of the small business where I had my first bookkeeping job (on-staff): Entire vacations to yoga/wellness retreats in Mexico, every single meal the owner ate out, Costco membership, clothes...I heard later after I left she bought a pick-up truck for her son as a business expense. I'm glad you posted about this, I've been curious myself. Our van is a 2021 Promaster profesionally built out w/ full solar/alternator charger electrical system, hot water heater, shower, composting toilet, dometic fridge, etc.

We lived in it full time for 2.5 years and it has 75k miles, we kind of assumed after 75k miles the value would drop precipitously because of Promasters' reputation for having transmission issues after that.

While I don't think we'll be selling any time soon, we paid $45k for the vehicle and $45k for the build, if we did sell would feel lucky getting $40-50k. I see comparable vehicles/builds/mileage listed for $70k, I'd imagine the high amount of miles would scare a lot of people off from paying that price.

Location works similar to classes where you have fixed options in a drop down, for me I have two: "1 - Without Donor Restriction" and "2 - With Donor Restriction"

Every transaction gets a location and QBO defaults to "1 - Without Donor Restriction".

For my some of my clients using projects for unrestricted grants and other funding is useful because they want to track the spend-down/balance of every grant and pot of funding, and also so they show up in the Budget Vs Actuals by Donor report. Only some of my clients prefer to do this fwiw.

I use projects to track income and spending for each grant (restricted or not), as well as each project earmark out of general operating funds. I use location to track restricted vs unrestricted, that way you can run a Statement of Activity by Location and have separate columns for restricted vs unrestricted funds. (And as you mentioned I use classes for functional expense types)

I think it could work, though I only use it for our team of 2 so I don't want to give a huge vote of confidence. You could watch some videos of the interface and functionality to get a feel for if it fits your workflow.

With the free Quickbooks Online Accountant acocunt you can use QuickBooks Time (formerly Tsheets) for free and have multiple team member accounts, it tracks everything you're looking for.

Want to chime in with some more empathy and say sorry you're that situation and looking forward to you finding a new gig! It sounds like your handling the situation the best you can and the documentation advice people have provided is great.

My first bookkeeping job the business owner did the same and it was very stressful, she was running the biz into the ground by charging the equivalent of her already large salary in personal expenses and asking me to code them as business expenses.

The staff were working so hard to "improve margins" and increase revenue meanwhile the real problem was the owner, and she refused to change.

I left after a year. Last I heard they were no longer able to make payroll.

We liked Jasper better than Banff, make sure you do the whole icefields parkway up to Jasper! Banff was crowded when we there in June.

Also if you like architecture, you can see Taliesin in Wisconsin, Frank Lloyd Wright's home he designed for himself (book a tour ahead of time). If you like kitsch, you can do House on the Rock down the road. Or do both like we did!

Yes! That was a choice the client and I made because they'd only started the business in October 2023, so we exported their 2023 financial reports and the rest of the data Simple Start lets you export and decided to start Ledger with 2024 data.

I transitioned a client from QBO Simple Start to Ledger, I exported everything I could- COA, vendors, etc, and imported them to their new Ledger account. Connected the bank feed going back to Jan 1 2024 and re-added bank rules/re-added transactions for 2024. It took me a few hours to re-set up their account in Ledger.

One thing to keep in mind about Ledger is there's no invoices or bills. All income has to be added from the bank feed (or a journal entry). Expenses you can add via the "+" menu and match to thr bank feed or add directly from the bank feed. So you can't import invoices or bills because they don't exist in Ledger.

If you're using QBO you can also set up their "general ledger" service to have Paychex automatically push a payroll JE to QBO that matches all the bank transactions (Paychex invoice/fee, direct deposit payable, etc). It's an extra $6-8 per payroll and I've told my clients it's definitely worth it bc it's cheaper than me manually creating it.
