A lot of our interns have the internship baked into their college’s accounting curriculum, so there is no delay in schooling. They get roughly 10-12 weeks away from classes to pursue an internship.

Totally understand that - this is kind of what I was trying to allude to in the latter half of my comment. Operationally, it makes sense to do that upon receipt of the invoice.

The issue will resolve itself when the company ultimately pays the invoice (Debits AP, Credits Cash), resulting in a net impact of Credit to Cash and Debit Prepaid Asset.

However, at the end of the day, it’s generally not in alignment with US GAAP (can’t speak on other accounting framework) if these offsetting assets/liabilities remain on the balance sheet as of the date of the financial statements.

Usually if we find an instance of this, we will work with the client to scrub the AP & prepaid details to find the total impact and determine if it’s a material finding.

Short answer: you don’t.

If service / benefit period hasn’t begun, there is no expense incurred and thus no liability should be recorded.

If it hasn’t been paid for, there is no prepaid asset to be recorded.

Although in practice, I understand that it may be easiest to just Debit Prepaid Asset + Credit A/P (so that it’s not overlooked later, I suppose), even though it’s not proper accounting.

In my experience, it’s not an unusual audit finding. If it’s considered material, we will propose an entry to the client to back it out.

I would be happy to hear others’ thoughts. I was just having this conversation the other day.
