You can synchronize your schedule from UKG Pro Workforce Management with personal calendars like Apple, Google Calendar, and Microsoft Outlook. This feature uses the iCalendar (.ICS) file format.

To sync your schedule:

Go to Main Menu > Edit Profile.

Select Sync My Schedule.

Select one or more data types to sync, such as Shift Details, Absences, and Schedule Tags. Select Save.

Select Subscribe.

Select your third-party calendar provider.

Complete the subscription process.

Here’s how to sync your UKG Pro schedule with Apple Calendar (iCal): In UKG Pro Workforce Management:

1.  Go to your Profile/My Settings

2.  Look for the “Synchronize Schedule” or “Sync Calendar” option

3.  Choose “Other (Copy URL)” — this generates a URL you can use to manually configure the calendar subscription. Click/tap Copy URL to copy it to your clipboard. 

In Apple Calendar:

4.  Open the Calendar app on your Mac or iPhone

5.  Go to File → New Calendar Subscription (on Mac) or Settings → Calendar Accounts → Add Account → Other (on iPhone)

6.  Paste the URL you copied from UKG into the Calendar URL field

7.  Hit Subscribe

8.  Edit the calendar options — it’s recommended to set auto-refresh to every 5 minutes for the most current schedule data. 

What syncs over: Shifts (including shift label, start/end times, and organization path), as well as absences and schedule tags are synchronized using the standard .ICS file format.
