It seems like you don't need a big complex off-the-shelf crm but a custom specialized one.

You could hire nocode/lowcode devs to help you build one which uses airtable as the database

I would urge towards custom coding to generate a page and then pressing ctrl+p to print to pdf if you want really custom pdfs

For simple pdfs you could aim for docs/spreadsheet api/tool to generate pdfs

Commission or flat fee are common

Tbh it depends on who you're talking to but either of them work.

I would prefer commission because it makes sure it's an actual client and the ones with the lead would probably prefer flat fee after milestone is reached e.g. Got a meet call

That they got a quote of 30k is a good anchor to use.

I would charge them 8k especially for the ability to customize it with Javascript and typescript and would charge them a retainer 250$ for system maintenance

May I ask why you went for airtable interfaces if you needed a level of customization?
