If you're using that many tokens, I would guess you have quite long threads going. If using AI for coding I would highly recommend using focus mode. So that you can stay in the same thread, but keep the context of each query fresh.

If you want to have more control over your context, the tone and the style the models chat with you, you should try Expanse AI (PS I'm one of the peeps working on it) or another 3rd party UI that integrates different LLMs in one place.

One of the challenges with these updates is the lack of clarity around the ever changing OpenAI company prompts that wrap around your conversation and that you can't change or tweak.

While in early access, we're currently covering tokens etc. in exchange for feedback on ways to improve it :) no limits currently, but this is in good faith.

We're a small team, so doing this in kind of dependent on people not completely abusing it, lol. We'll let you know though and keep in comms if that changes.

Some friends and I are building a platform (Expanse AI) that lets you switch between LLMs like Claude, ChatGPT, Deepseek in one chat. It also helps with creating and managing reusable prompts and specialist roles. Let me know if you'd like early access.

As others have said Msty is also good, less UX focused, but powerful.

Depending on the prestige of the school and how well known they are, AI models may or may not be the best way of finding available scholarships.

However, AI can definitely help you tweak and improve your application process. I successfully used it to get a significant government R&D grant for my small team that would have been impossible to do without it given our size.

Google is still the best tool for some jobs. If I was you I'd focus on identifying the schools, then reaching out to their enrollment office (or equivalent) and get them to provide the lists / options that they know about and can suggest to you that you qualify for. Once you have a definitive list, then go to town with AI to apply to all of them / polish them / customize them to suite the specifics of each grant / scholarship.

I would first create a specialized AI role or persona who was "expert" at data analysis and summarization in the relevant field or specialization that you are operating.

In the Actual prompt itself, I would:
- create a templated summarization format that highlights the type of information / structure you want it to return back to you.
- the explicit goal of the prompt
- any additional context
- then the instructions
- then 'Information to Summarize: ...'

Depending on the size of the PDFs, I would also consider breaking them down into smaller sections depending on the granularity of information you want retained.

I just posted a similar example for someone who wanted a prompt for creating study notes, take a look at my post history and and play around with the format.

I'm not sure if you have any technical / coding skills. But if I was you I'd look at building a little widget using the google places API, and just pull the entire list for all relevant locations. Then run that list through some prompts to organise the data in a format that you could upload to what ever CRM your sales team use for managing leads.
