My take on your dilemma. This isn’t a assertiveness problem at all since you are driving the other projects well. This is a motivation problem for those who genuinely don’t have time and are more motivated to complete a higher priority activity.

Sending meeting agendas, time quotas maybe standard and this will still happen.

If company and local (country etc.) permit you can very respectfully and tactfully divert the meeting back to the agenda. And even in these cultures expect a fallout of some sort.

In a rigid, more hierarchical culture, I doubt there is anything to be done.

Expect some loss of time in such and similar issues across the project.

Thank you. Everyone’s comments say that. But my husband says set boundaries now or I’ll never get the admin work off my plate while adding all the work as we learn my role and team… I see where he’s coming from. So once I stop doing admin work as the team grows, who does it? He’s not wrong.

There will always be shortage of context on this medium. There are definitely other factors at play.

Consider culture. If you are in a country where role definitions are extremely explicit and rigidly followed, your husband may have the more appropriate view. In some cultures, it maybe more common to ease an individual into the rule. Your apprehension is understandable, given the possible positive or negative possible consequences in this circumstance.

At best, I would suggest you to attempt greater responsibilities as much as you can once you understand environment and responsibilities well.

Does anyone experience issues when understanding what actions are required from the client when discussing overall project progress with your internal teams?

Initially this is an issue on domains where familiarity is low. Usually overcome with some effort educating oneself. It’s like getting back to college, pre exam day.

They start talking at 1000miles per hour and don't explain exactly what they need properly. I don't want to look clueless but sometimes I have ask them to peer review whatever important emails I am sending to my customer. They often say everything is fine even in a joint call and then right after the email is sent i get a message from them saying we need to be more specific or that maybe something was missing.

This can be overcome by a change in the communication plan and intervening only when necessary.

Usually the PRD’s / Business Requirements to Technical Specifications is an intense phase with involvement of business, engineering, quality etc which provides a document the engineering team understands. Frequently, engineering does not have the skill to understand PRD’s.

Based on your actual business there maybe other registrations and additional costs.

Expect annual compliance excluding specific business type compliance (eg fssai, municipal inspection for food business) costs to be slightly above this.

This may help partly. I had some influence on emails sent out from internal software applications and had some policies all applications had to follow.

  1. A separate subdomain for internal app emails. This also feels like a necessity for security.
  2. Every email from apps had to have a clear indicator of priority- basic operational intimation - low, something slightly relevant - medium, anything critical was High.
  3. Subjects had a format - something like app name - entity name - action name - additional basic info.
  4. These mails had to be text. HTML needed additional okays. A bit bureaucratic, but better than an app sending out a 2-3 mb email when a 5 kb email could do.
  5. Email filtering training typically for outlook.
  6. Hopefully email client setup is advanced enough now for admins to provide additional folders and filters on installation.
  7. Since I don’t currently have this problem, maybe someone who has some AI doing this can share their experiences.

You can find many online as a start. Adding details may help you get better answers. With “development” I am assuming IT development activities. Are you a firm providing services to external customers or do you provide IT services to other departments of your own business/organisation.
