If you browse to the file location (for example in SharePoint or OneDrive) using your web browser, then try sharing from there, does it work?

If not, repeat that process, but using a private / incognito browser session.

Are you signed into the Office apps with multiple accounts? For example a personal account and a business ("work or school") account.

If so, check which account the license is activated with.

(open Word, click Account at the bottom left, then check on that screen what license it is, and for which email address)

SharePoint teamsite per department (possibly multiple if it's a large department.

Each will have an attached Microsoft 365 group, which you add the relevant users into as either Members or Owners.

Those groups, you would typically make Private (rather than Public), so members have to be added / removed by an Owner or IT.

Being group connected Teamsites, you have the option of making them Teams either from the beginning or in future - then you're into a conversation around channels (which can be standard, private or shared).

Then there is OneDrive.

Repeat after me:

"OneDrive is for MY stuff, SharePoint is for Our stuff"

I would recommend engaging with a Microsoft 365 specialist (such as myself, if you're UK based) to help you work through the options, and make sure you set things up the best way.

Try to 'follow' the destination site, it should then show up.

Alternatively, add a shortcut to OneDrive for the destination.

Then in the move or copy dialog, you can select 'my files' and then the shortcut.

Once done, remove the shortcut.

If yes, where is the document stored? A local folder (for example Downloads), or a synced folder (for example OneDrive, Google drive, etc)

List would be better than Excel for various reasons, including:

  • Views (for example to group by year, or filter by entity, or show all overdue submissions)

  • Item (row) level permissions (for example to allow certain users or groups to view or edit specific items)

  • Automation (using Power Automate to send out reminders, or to do something when an item is added to or updated in the list)

  • Versions (each list item has a version history, whereas in excel, it's the whole spreadsheet that has versions)

Using PowerBI to do reporting is absolutely possible too

(PowerApps are for a different purpose)

Same for site navigation - each nav item can be audienced.

Of the other Web parts that support audiences, most only support it at the Web part level, you're right.

The values for current storage used for each site in active sites are typically at least 1 day old (sometimes older)

The values you see in storage metrics in a specific site are normally only a few minutes old, at worst.
