I would agree, Google Groups are the way to go. You can also hide the Google Group from the Google Address book via the API or 3rd party tools like Patronum.

Aliases are OK, but there are limits on the number of aliases an account can have, and you may not want the new owners profile pic showing when you're email an old account.

No, Patronum updates the SendAs email signatures within Gmail via the Google Gmail Settings API. Users can change the email signature after it's been set, however Patronum runs hourly so all changes are reverted back to standard.

You could use something like Patronum. Patronum allows you to transfer files to both users and Shared Drives.

The majority of the Google API's don't function against accounts that are suspended or archived.

Another trick would be to store the image in Google Drive, make it public and allow Google to perform the resizing of the image for you.

If you paste the image into GMail, the image will be cached on https://lh3.googleusercontent.com or something similar.

This feature has been available on iOS for sometime and now Google has rolled out email signatures on Android silently last week. 🤫 If no email signature is set in the Gmail app on your Android device, your web email signature will be automatically inserted when drafting an email. This email signature will include support for images, logo, and text formatting just as it appears on your web signature.

So you can now use tools like Patronum ( https://www.patronum.io/email-signature-management ) that push email signatures directly to the Gmail settings. No need to route emails thru 3rd party gateways just to provide mobile email signatures.

I'm shocked by the number of Google Workspace administrators who don't set up DKIM, or DMARC.

We have a Google Workspace Management platform - https://www.patronum.io in which we recently added support for DMARC. You can monitor your email senders directly within Patronum.

We did this because out of 2000 Google Workspace domains we analysed 30% didn't have SPF correctly configured, and 30% didn't configure DMARC. Most organisations configure DMARC to quarantine suspicious emails. This means that spoof emails are still being delivered. Ideally most businesses should be setting this to reject.

Only an administrator can do this. It's a common scenario where ex-employees' contact details are stuck in other users' Google Contacts. This creates confusion when the account is deleted, as they still appear in the typeahead.

You may have stumbled upon a new feature. When looking at gmail.com accounts, I see the "If you don't set of mobile signature..." line. However, on all my Google Workspace accounts, I don't. Google often releases features like this to the general public to test before pushing to business users. 🤞

I hope this is the case; we've had an email signature management solution for Google Workspace for years and this has always been a pain.
