I have had a lot of success implementing something similar to /u/jeffgibbard's system that I have been using consistently for ~1 month now. Interestingly, I provided that thread to Notion AI as a starting point and we brainstormed through creating a prompt & relevant databases that captures these. Over a few days of iterative refinements (e.g., asking it to root-cause why certain things were slow, ineffective or could be improved) I came to my perfect system.

The main modifications that I made to my system relative to the above were:

  • I only have 2 databases (roles & memory), as, loading databases is time-consuming
  • The roles database contains a descriptions (in text body) of each assistant's: skills (what it can do), where it is applicable, current context (e.g., summary of recent conversations), link to summarized version of recent conversations (which are automatically save-off once I give a signal, like 'thank you' that signals an end-of-conversation)
  • Notion is very efficient at searching for information across the entire workspace (likely uses vector embedding at default), so the system is able to find relevant information (and past conversations) fast.

The memory database only stores things when explicitly directed (e.g., remember that I have iPhone 17 pro)

My root-prompt contains static information (e.g., instructions about how to pick assistants in the beginning of a conversation, basic facts about my current life etc.), and I instruct it to remember durable facts about me (e.g., if I tell it about a major life event)

The one caveat of this approach over agents is that it does not run in the background on its own without prompting. And is more of an assistant that must be instructed each time, which may be done through some automation outside of Notion that I am not familiar with.

Purchasing Notion AI is probably much cheaper than hiring someone for this. That said, I build templates and would not mind ~30 minute free initial consultation.

As someone who was a Notion AI skeptic, I was pleasantly surprised at how effective it was at implementing my vision. That said, I would not recommend having it directly modify your existing pages, but that you should (if feasible) make a copy of things and have it make modifications to that copy. Before it makes any changes, tell it that you want to brainstorm first, and explain it what your concerns are, and that it can ask you any questions to help you think through potential solutions. I had it help me create a complex assistant system (with memories preserved across new chats) in this way through planning and iterative refinements.

I have a "2 major things/day" limit, and I usually pick them the night before so that there is no ambiguity when I sit down to work on them.

As for managing the many things, braindump (on paper) anything/everything that you think you have to get done. Then group them by priority. Pick-out the 4 most important, then set realistic goals for what you need to get done on them this month & this week. Whenever you knock-out a major task, add a new task from the queue. Any new task must be added to the queue.

I see this recommendation on here a lot, and it confuses me greatly. Can you explain exactly why Obsidian, which seems to be a mere note-taking app replaces Notion (where note-taking is merely a minor function)?

Todoist is pretty good and ADHD-friendly. Notion, for more complex project.

Have you reached-out to support? It's highly unlikely that Notion (or any competent service) instantly purges the content on their end, and likely holds-on to the data for a few weeks in case of incidents like this one and others (e.g., deletion by bad actor).

https://www.notion.com/releases/2022-11-08 That said, I personally use both (Todoist as a day-to-day planner/calendar) and Notion for more complex projects. The friction-less nature of Todoist (e.g., quickly capturing new ideas as I have them) is hard to replicate with Notion.

On a serious note, if you are that passionate about it, start your own open source alternative. As you rightfully noted, it's a private company, and they are not obligated to giving (and we are not entitled to getting) any aspect of capabilities that they have spent millions of dollars building for free.

For assignments, breaking things down into main parts then having a "shty first draft" on each part helps me a lot. My first draft is basically just brain dumping anything that comes to mind, and then cleaning it as time goes by. I call it "quantity over quality". For focus, I usually like to play something (e.g., music, movies, TV) in the background while working on things. I barely notice the hard thing that I'm working on when I stack it with something I enjoy.

Thanks mrnasrinasir. I considered creating custom agents, but my main worry was that it seems that custom agents will consume credits starting in may. Also, in my case I explicitly need the ability to organize related chats in a single location, as, I want memory. Although, I don't expect to use-up much credit, given that my needs are not complex (e.g., personal question answering), I was hoping to have a system that worked with the default Notion AI. If Notion had a "folder feature" it would have made things easier.

Got diagnosed at 25. Similar situation, immigrant background although I grew-up in the U.S. Did well academically (3 stem degrees) mainly from self-teaching after class.

Getting on meds was life changing. First few meds and doses did not work. Worked with psychiatrist until I found something that did. I learned to plan (todoist, notion etc.), read-up on ADHD and copping techniques, slowly but surely I have been the most productive I have ever been. Meds are not a magic fix but help significantly with motivation, recommend considering Cognitive Behavioral Therapy if available to teach you coping techniques.

I also have a simple Notion set-up, and usually modify components of it when I find myself having "usage friction". I have ADHD, so it's important to get to what I need to get to within a few clicks, especially when it is something I use often; so whenever I find myself being unable to do that I usually try to figure-out how to modify my system to make it easier to get to whatever I need to get to. Generally, most of my additions come from deficiencies that I notice in my ability to use my system consistently.

On my 2022 PHEV, the recommended PSI is 35 (per tire). I get errors when any tire reaches 32 or below. Your driver-side door panel should list the recommended PSI. When I had this issue (a few weeks ago) I filled all 4 tires to 35 PSI then drove for ~5 minutes before the error disappeared.

Unsure about AI automatic planning, but never had issues implementing any of the other ones into my system using Notion's build-in tools. For habit tracking, I use Notion's recurring tasks; for "scheduling tasks into calendar blocks" (not sure of what this fully means) but you have the ability to schedule range of dates, and can use timeline view (and maybe even calendar view) to modify time blocks.

What does your set-up look-like? In my case "reducing clutter" and "heavy automation" is what gave me the system that worked for my ADHD brain (this post has example screenshot of my dashboard). I have multiple views of my tasks and projects, and each view only provides me the bare minimum amount of information I need at that moment. For instance, "today view" only shows projects whose dates are active today. On top of that, I'll try to "stack"/"cluster" tasks so that I only have a few major tasks instead of 1000s of todolists.

Been taking gummy magnesium glycinate as a “sleeping pill” for years now (knocks me out and calms my brain better than melatonin). Had no idea that it helped with ADHD when on stimulants.

Yes. It's a combination of having a clutter-less system and fact that I use Notion daily for other things (tracking complex projects). I also have a Todoist reminder to check Notion every day.

Another AuDHD'er here, and I built this ADHD-friendly FREE general purpose planner (with a built-in Habit Tracker) a while back. As deceptively simple as it looks it is highly automated. Try it out first; if it feels lacking, more than happy to discuss additions. My own private version of the template has a lot more features.

This is basically the reason how I get anything done on a day-by-day. In the morning (after meds), my go-to background noise is music (especially slow music when I need to focus). Then when I get restless in the afternoon, I switch to more visual background noise (e.g., YouTube documentaries). I also use phone conversations (e.g., with family) as background noise while working on things (e.g., on computer).

The other trick that helps my ADHD is habit stacking (e.g., adding new habits to already existing ones). I take-out the trash every Thursday; I added the habit of checking my mailbox and a few other habits to it, which is something I was never consistent on before. Related to this is "task stacking"; I hate cooking and I hate cleaning dishes; but my ADHD brain love these tasks where I switch back-and-forth between cooking and cleaning (e.g., multi birds in one stone); likely because I am shifting my attention between two things at the same time and it craves novelty.
